Job Summary
The Front Desk Associate serves as the first point of contact for customers at our automotive repair shop. This role is responsible for providing excellent customer service, scheduling appointments, assisting with service inquiries, and ensuring smooth communication between customers and technicians. The ideal candidate is organized, professional, and comfortable working in a fast-paced environment.
Key Responsibilities
Customer Service & Communication
Greet customers in a friendly and professional manner, both in person and over the phone
Answer questions about services, pricing, and timelines
Clearly communicate customer concerns to service technicians
Provide updates to customers regarding repair status and completion times
Scheduling & Administrative Support
Schedule and confirm service appointments
Manage daily workflow and coordinate with technicians to ensure efficiency
Maintain accurate customer records, service orders, and invoices
Process payments, invoices, and receipts
Service Coordination
Assist in preparing work orders and documenting customer concerns
Review completed services with customers and explain charges in a clear manner
Ensure all paperwork is complete and accurate before closing service tickets
Office & Front Desk Operations
Maintain a clean, organized, and welcoming front office area
Handle incoming calls, emails, and basic inquiries
Order office supplies and support general administrative tasks as needed
Qualifications
Required
High school diploma or equivalent
1–3 years of customer service or front desk experience
Strong communication and interpersonal skills
Basic computer skills (POS systems, scheduling software, Microsoft Office)
Ability to multitask and stay organized in a busy environment
Preferred
Experience in an automotive or mechanic shop environment
Familiarity with automotive terminology or repair processes
Experience in handling cash and processing payments
Experience with Mitchell 1 POS Program
