Field Labor CoordinatorPosition Summary
The Field Labor Coordinator is responsible for ensuring the accuracy and timely processing of all field labor hours for both company employees and subcontractors. This position serves as the primary link between the field, Project Management, and Accounting by verifying labor documentation, maintaining accurate records, and ensuring payroll and subcontractor invoices are processed correctly.
This role requires excellent organizational skills, attention to detail, strong communication, and the ability to manage multiple projects in a fast-paced construction environment. The Field Labor Coordinator plays a critical role in ensuring labor is documented accurately, payroll deadlines are met, subcontractor invoices are verified, and project costs remain accurate.
Primary ResponsibilitiesDaily Labor Verification
- Review and verify all hourly employee time entered through Raken on a daily basis.
- Review subcontractor daily timesheets and labor reports to ensure all personnel working on each project have been properly documented.
- Ensure all labor hours are entered into the system accurately and completed by the end of each business day.
- Verify employee names, project assignments, cost codes, labor classifications, and hours worked.
- Review daily Raken photos, sign-in sheets, and supporting documentation to verify labor worked on each project.
- Follow up with Superintendents, Foremen, and subcontractors regarding missing or incorrect labor entries.
- Ensure labor documentation is complete before payroll is processed.
Payroll Administration
- Route employee timecards through the required approval process.
- Verify all employee time has been approved before payroll is submitted.
- Work directly with the Accounting Department to ensure payroll deadlines are met.
- Assist Accounting with resolving payroll discrepancies.
- Maintain accurate payroll records and supporting documentation.
Subcontractor Labor Verification
- Review subcontractor invoices against approved daily labor entries.
- Verify subcontractor invoices match daily sign-in sheets, Raken documentation, and approved labor records.
- Identify discrepancies and work directly with subcontractors, Superintendents, and Project Managers to resolve issues.
- Make labor adjustments when necessary and document all corrections.
- Ensure subcontractor invoices are accurate before forwarding them to Accounting for payment approval.
- Maintain organized records supporting all subcontractor labor approvals.
Communication & Coordination
- Serve as the primary point of contact for labor documentation between:
- Accounting
- Project Managers
- Project Engineers
- Superintendents
- Foremen
- Subcontractors
- Communicate daily with field personnel regarding missing documentation, labor corrections, payroll approvals, and subcontractor invoice discrepancies.
- Assist Project Managers and Accounting with labor reporting questions.
- Build positive working relationships with both office and field personnel.
Documentation & Compliance
- Maintain complete and organized labor documentation for every active project.
- Ensure company labor tracking procedures are consistently followed.
- Maintain electronic records for payroll, subcontractor billing, project documentation, and audits.
- Verify all required labor documentation has been received before payroll or subcontractor invoices are processed.
- Protect confidential payroll and employee information.
Process Improvement
- Monitor labor reporting across multiple projects and identify missing information before it becomes an issue.
- Recommend improvements to labor tracking procedures and administrative processes.
- Support additional operational or administrative tasks as assigned.
- Assist in maintaining efficient communication between the field and office.
Qualifications Required Qualifications

Preferred Qualifications
- Previous experience with Microsoft Excel, payroll processing, invoice verification, labor administration, or construction administration is a plus.
- Experience using Raken or similar construction field management software is preferred but not required.
- Understanding of payroll processes, timekeeping, and subcontractor invoice verification is beneficial.
- Bilingual (English/Spanish) is preferred and considered a plus, as this role regularly communicates with field employees and subcontractors.

Training & Onboarding
Every company has different procedures, software, and expectations. Because of this, we provide comprehensive training to ensure every new team member is successful.
The initial onboarding process consists of approximately one week of hands-on training working alongside experienced team members. During this time, you'll learn our daily labor tracking procedures, payroll approval process, subcontractor invoice verification, and the systems we use to manage labor documentation.
Training includes:
- Raken time entry and labor verification.
- Daily labor tracking procedures.
- Employee payroll approvals.
- Reviewing subcontractor timesheets.
- Matching subcontractor invoices to approved labor records.
- Company documentation standards.
- Communication procedures between the field, Project Managers, and Accounting.
Additional training and ongoing support will continue after the initial onboarding period until you're comfortable working independently.
Candidates who already have experience with Microsoft Excel, payroll processing, invoice verification, labor administration, or Raken will have a strong advantage. However, we are committed to training the right individual who demonstrates strong organizational skills, attention to detail, dependability, and a willingness to learn.
Work Schedule & Expectations
The standard work schedule is Monday through Friday, 40 hours per week.
Because we support active construction projects, flexibility is required. During busy periods, payroll processing, project deadlines, or weekend work performed by field crews may require additional hours. At times, workdays may extend to approximately 10 hours per day depending on project demands and payroll deadlines.
Occasional weekend work may also be required to verify labor entries, review documentation, process approvals, and ensure payroll remains on schedule. In most cases, these responsibilities can be completed remotely from home.
This position requires someone who is dependable, responsive, and able to adapt to changing project schedules while maintaining accurate labor records and meeting critical deadlines.
