Position Description:
This position requires a high degree of independent decision-making. Maintain uniform front desk operations for Life Renewal Community Referral Outpatient Program and Residential Adult & Teen Challenge PACWEST Programs. To develop & maintain a consistent intake and admission process and assist with the scheduling and flow of the clinical office. Verify and track insurance and collect payment as needed. Help with intake appointments, manage phones and help with reporting to community parties.
Coordinate with the billing team to ensure that all documentation is being completed in a timely manner, ensure that charts are orderly and provide the oversight and maintenance of licensed treatment programming in accordance with State Laws, Life Renewal Policies, and the ministry goals of ATC PACWEST programs. Ensure that ATC PAC WEST Campus intake department is supported and other duties as signed. Ensure that ATC PAC WEST Billing Department is supported and other duties as signed.
General Statement of Duties & Responsibilities:
Intake Specialist Campus Component:
- Conducting phone interviews with potential program participants
- Answering program related questions
- Create initial student digital file using current EHR system
- Assessing applicant’s needs, ability and willingness to participate in the entire ATC PAC WEST program.
- Ensure thorough correspondence between Admissions and Program staff.
- Maintain good working relationships with the judicial system, law enforcement agencies and attorneys.
Life Renewal Administrative Assistant Component:
- Cooperate with Divisional leaders and Executive/Center Directors regarding Life Renewal services.
- Become EHR subject Matter Expert (SME)
- Train staff in appropriate use of EHR
- Eligibility tracking within EHR
- Tracking Payments and reduced feed and payments in EHR
- Support Billing team as needed to collect additional information for billing of services.
- Create a monthly report for parole and probation and courts as directed by counseling team
- Oversee staff credentialing, requirements, and CEUs
- Assist with Medicaid enrollment of all new clients
Recruiting Requirements - Knowledge, Skills and Ability:
1) Individuals need to have a working knowledge and understanding of addiction, mental health and life controlling problems.
2) Acquire a considerable knowledge of ATC PACWEST programs.
3) Display emotional maturity, professional objectivity and the ability to act in a Christian manner.
4) Develop considerable knowledge of outside referral agencies and other Teen Challenge Centers.
5) Develop and maintain cooperative relationships with physicians, law enforcement agencies, the court system, parole and probation officers, and the community in general.
Experience and Training:
It is recommended that individuals have either a background in pastoral ministries, social sciences, or personal experience in a Teen Challenge Program. Individuals who have graduated from a Teen Challenge Center and desire to work in this position must have acquired a High School Diploma or GED. Individuals are expected to participate in continuing education opportunities.
Special Requirements:
Possession of, or ability to obtain within 30 days, a valid driver's license in the State of Domicile.
Monday – Friday - 8:30am - 5:00pm, and Flexible to cover up to 3 days a week 10:30am-7:00pm
Pay: $18.00 - $21.00 per hour
