Position Summary
Compass Academy is seeking a bilingual Registrar to oversee and implement office duties at Compass Academy including: enrollment and admissions, student records and District compliance, medical records, and administrative tasks.
The Registrar is responsible for the following activities:
- Recruitment(reports to Director of School Culture)
- Support recruitment and enrollment efforts (including home visits, mailers, phone banks, etc.)
- Serve as the first point of contact for newly enrolled students; set up tours and shadow opportunities
- Registration
- Serve as the first point of contact for newly enrolled students in the main office and support in setting up tours and shadow opportunities
- Support Front Office Manager with Registration in early August- file and update all student files in Infinite Campus and check in with families who do not have paperwork after registration
- Ensure all families complete Annual Family Update and up-to-date information is entered into Infinite Campus
- Enroll and register all students who enter Compass throughout the year - work with the Director of School Culture Office of Choice and Enrollment and for new student enrollment and registration and admin transfers
- Infinite Campus (IC)
- Create and maintain student records in Infinite Campus and safeguard paper copies at school - organize files, request new student files, copy and send out departing student files, make sure paperwork is up to date and required DPS paperwork is filed
- Update electronic files including student, parent, ELA, behavior, and contact information
- Remain up to date and provide training Compass staff members on IC compliance and usage related to student records, attendance, etc.
- Monitor error reports and communicate errors to relevant parties
- Attendance
- Manage student attendance monitoring and reporting in IC
- Ensure teachers have accurate attendance taken each class period in IC
- Monitor attendance trends and identify students of concern in IC
- Meet weekly with Compass Attendance Team; create plans to engage with identified attendance concern students (use Thursday PD time as needed to provide attendance interventions
- Maintain clean attendance records in IC
- Coordinate with DPS to manage October Count
- Update staff on student absences throughout the day and ensure all students’ locations are known at all times
- Administrative Tasks
- Greet visitors, students, families, and staff with professionalism, patience, and responsiveness - provide a welcoming presence in the front office for all guests
- Manage all incoming phone calls and transfer to appropriate staff
- Prepare, print and organize all mailings sent out with students (letters, report cards, announcements, etc.)
- Support Restorative Team by occasionally supervising students in the front office
- Manage the upkeep and sale of uniforms, including managing a loaner uniform system
- Manage school communication channels to ensure timely communication with district personnel, families and community members (Apptegy/Thrillshare, DPS Email, voicemails, etc.)
- Maintain, update, and support school nurse with student medical records
- Ensure concussion protocol and emergency medical protocols are documented in all instances
- Maintain a Lost & Found in front office
- Translate written documents for family/community events; serve as translator during conferences
- Maintain Emergency Operations “red folders” in each classroom (at least on a quarterly basis)
- Manage system for tracking late arrivals, early release, nurse visits, student visitors
- Support Front Office Manager with substitute teacher management system
- Maintain and organize office and classroom supply inventory and submit orders when necessary
- Assist Front Office Manager and Director of Instruction & Operations with facilities management and vendor relations
- Coordinate with DPS Transportation and HopSkipDrive to ensure safe and reliable student transportation
- Other duties as assigned
Qualifications:
- Minimum 2 or more years of professional experience
- Strong ability to manage logistics and operations in a dynamic work setting - ability to multi-task and quickly switch between tasks
- Proven ability to work both as a team member and independent leader
- Flexibility, resourcefulness and comfort working in a startup environment
- Excellent verbal communication skills
- Experience working with students in learning environments
- A positive, do-what-it-takes attitude, great sense of humor
- Entrepreneurial mindset and ability to work in a fast paced, collaborative work environment
- Fluent in speaking and writing Spanish - comfort communicating with Spanish-speaking families and students
- Proficiency in Infinite Campus preferred

Pay: $33,000.00 - $45,000.00 per year
