Position Summary
The Administrative Assistant provides administrative and operational support to the President/CEO and BCIC team, helping ensure smooth, professional, and efficient daily office operations. This role serves as the primary point of contact for visitors and callers, supports front office functions, assists with routine administrative and financial tasks, coordinates organizational events and celebrations, and helps maintain an organized and welcoming office environment.
Essential Duties & Responsibilities
Executive Support — President/CEO
- Provide dedicated administrative and executive support to the President/CEO, including calendar management, scheduling, and meeting coordination.
- Draft, proofread, and prepare correspondence, reports, presentations, and other documents on behalf of the President/CEO.
- Manage incoming communications and requests directed to the President/CEO, ensuring timely follow-up and routing.
- Coordinate meeting logistics for the President/CEO, including agendas, materials preparation, and follow-up action items.
- Handle confidential information with the highest level of professionalism and discretion.
- Assist with special projects and initiatives as directed by the President/CEO.
Front Office & Daily Operations
- Serve as the primary point of contact for visitors, clients, and stakeholders, providing a welcoming and professional front desk environment.
- Answer and direct incoming calls, manage mail and deliveries, and ensure all correspondence is routed appropriately.
- Maintain a professional, organized, and functional office and common areas.
- Monitor office supply inventory levels and coordinate replenishment orders as needed.
Financial & Procurement Support
- Collect credit card receipts on a weekly basis and prepare weekly expenditure reports for submission to the Accounting Controller.
- Collect, organize, and route internal purchases and procurement requests (aprons) to ensure all supporting documentation is complete and accurate before routing to designated staff for approval.
- Assist with administrative purchasing support and maintain organized records of all procurement documentation.
Administrative Support
- Provide administrative support for organizational operations and assigned departmental needs..
- Book travel arrangements for staff and Board of Directors for economic development-related travel.
- Maintain organized filing systems and administrative records.
- Assist with the intake, organization, and routing of administrative submissions as directed.
- Assist with maintaining organizational databases, contact records, and administrative systems.
Events, Celebrations & Meeting Support
- Plan and coordinate organizational celebrations for the BCIC team, including staff birthdays, work anniversaries, milestones, and holidays.
- Assist in the planning, organization, and logistics of BCIC events, community activities, workshops, and meetings as needed.
- Support distribution of event communications and invitations to staff and stakeholders as directed.
- Assist with event setup, materials preparation, and post-event coordination.
Qualifications & Education
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- 1–2 years of administrative, executive support, or office support experience preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and basic office systems.
- Strong organizational skills, attention to detail, and reliability.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Ability to handle confidential information with professionalism and discretion.
- Bilingual (English/Spanish) preferred.
- Valid Texas Driver’s License preferred.

Additional Requirements
- Occasional same-day travel may be required.
- Position may require occasional attendance at evening events as needed.

- Compliance with organizational policies, safety procedures, ADA requirements, and operational standards.
