Position Overview:
This dual-role position handles core bookkeeping tasks (Accounts Payable and Accounts Receivable) alongside general office administrative support. You will serve as the financial gatekeeper for incoming/outgoing payments and the primary administrative engine of our daily operations.
Key Responsibilities:
Accounts Receivable (AR) & Collections:
- Generate, verify, and send accurate invoices to customers daily.
- Process incoming customer payments (checks, credit cards, ACH).
- Monitor aging AR reports and conduct polite, professional collection follow-ups on past-due accounts.
- Reconcile customer accounts and resolve billing discrepancies swiftly.
Accounts Payable (AP):
- Receive, code, and enter vendor invoices into the accounting system.
- Track payment due dates to maximize early-payment discounts and avoid late fees.
- Prepare weekly check runs and digital payment batches for owner approval.
- Maintain organized digital and physical files of all vendor receipts and invoices.
Office Administration:
- Manage incoming mail, sort documents, and route sensitive items to the owner.
- Answer the main office phone line, greet occasional visitors, and handle general inquiries.
- Monitor and order office and printing supplies to maintain inventory levels.
- Provide general administrative support to management as needed.
Qualifications & Skills:
- Experience: 1–3 years of hands-on experience in bookkeeping, AP/AR, or general office administration. Small business environment experience is a major plus.
- Software: Proficiency in accounting software (e.g., QuickBooks, ERP software) and Microsoft Office (Excel, Word).
- Attributes: Strong numerical accuracy, extreme attention to detail, and excellent written/verbal communication skills.
- Reliability: High level of integrity when handling sensitive financial data, with a proven track record of dependability.
