Position Summary
St. Paul's By-the-Sea Episcopal Church is seeking a highly organized, professional, and adaptable Executive Assistant to support the Rector and Director of Outreach. Additionally, the Executive Assistant will support the daily operations of the church and its outreach ministries (soup kitchen, food pantry, emergency shelter).
The Executive Assistant serves as a trusted administrative partner, establishing staff and volunteer schedules, managing communications, supporting church operations, and helping ensure the efficient day-to-day functioning of the church and its outreach ministries. This position requires excellent organizational skills, sound judgment, attention to detail, and the ability to manage multiple priorities in a fast-paced, mission-driven faith-based environment.
What you’ll do
- Provide executive and administrative support to the Rector and Director of Outreach.
- Monitor and respond to office email and other communications.
- Prepare the weekly church bulletin for Sunday worship services.
- Manage staff scheduling for shelter (using Connecteam software).
- Manage volunteer scheduling for soup kitchen and food pantry (using Point software).
- Manage schedule for Sunday worship services roles (readers, ushers, etc.)
- Order church, office, shelter, and food ministry supplies.
- Organize and maintain office files, outreach records, and administrative systems.
- Coordinate maintenance and repair requests for church and outreach facilities by
- communicating with vendors, contractors, and service providers.
- Assist with special projects, research, reports, presentations, and other administrative
- assignments.
- Perform other duties as assigned to support the mission of the church and its ministries

Qualifications
- Associate or bachelor’s degree preferred.
- Administrative, executive assistant, or operations support experience preferred.
- Strong organizational and communication skills.
- Proficiency in Microsoft Office.
- Comfortable learning new software and technology platforms quickly.
- Demonstrated professionalism, discretion, and the ability to maintain confidentiality.
- References required.
