Position Purpose: To provide administrative and customer service
support the CEO, staff and VA Research Principal Investigators (PI) as
required.
Roles and Responsibilities:
Coordinate the timecard process. Maintain and communicate up-
to-date employee timecards. Maintain and update as required an
email distribution list for employees and supervisors. Manage the
bi-weekly requests and processing of timecards. Review each
timecard for accuracy and completeness. Prepare for CEO
approval. Resolve issues as they arise. Notify Accounting when
timecards are ready for processing. Communicate with CEO on key
issues.
Coordinate the purchase order process. Maintain and update
purchase order process policy, documentation and forms. Ensure
timely processing, approvals, saving and organizing files.
Communicate with staff via emails, calls and meetings to explain
and clarify the process. Prepare all PO packets for CEO approval.
Communicate with Accounting as required.
Assistant with employee hiring, training, and terminations.
Organize and save key HR documents and employee documents,
including HR Change Request Forms, posting jobs to job sites,
maintaining and sending New Employee packet, tracking
employment dates and IPA dates, and other administrative
activities as required.
Support the CEO with administrative tasks as required.
Education: Some college education is preferred.
Experience and Skills:
Preferred: 3 years office admin or customer service experience
Detailed oriented
Customer Service
Moderate – Strong Microsoft Office (Word, PPT, Excel and Outlook)
and Dropbox skills
Ability to pass a government background check
Reliability
Ability to learn quickly
Good verbal and written communications skills
Strong problem solver
Professional demeanor
Pay Rate: $24.00 - $26.00 dollars per hour based on experience.
