About Student Advocacy, Inc.: Student Advocacy, Inc. is a nonprofit organization that provides legal representation and counsel on education matters for students in grades Pre-k-12 who attend public schools in Westchester and Putnam Counties, New York. The families who seek our guidance have children who are experiencing barriers to school due to disabilities, mental health, and other complex challenges. Our legal services are provided to over 500 families annually, primarily to those with limited financial resources. The team is comprised of education attorneys and advocates, who work to ensure that students receive the educational services to which they are legally entitled, so they can make meaningful progress in school.
Job Overview: We are seeking a dynamic and highly organized Office Administrator to join our team! This vital role ensures the smooth and efficient operation of our office environment by managing administrative tasks, coordinating communication, and supporting daily business activities. The ideal candidate will bring enthusiasm, excellent organizational skills, and a proactive attitude to foster a productive workplace.
Responsibilities
- Manage front desk operations, including greeting visitors and clients and handling multi-line phone systems with professionalism and courtesy
- Maintain accurate records through data entry, filing, and proofreading of documents using productivity software such as Microsoft Office, Google Workspace, and spreadsheets
- Oversee calendar management and schedule appointments or meetings efficiently for team members or clients
- Handle correspondence via phone, email, and written communication, ensuring clear and effective client communication
- Coordinate office supplies inventory, order necessary materials, and ensure the office remains organized and well-stocked
- Assist attorneys and advocates with tasks such as document preparation, correspondence, filing systems and client and client record management
Qualifications
- Associates degree required; Bachelor's degree preferred
- Proven experience in office management or administrative roles, preferably in a nonprofit
- Bilingual, particularly in Spanish/English, a plus
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, spreadsheets, and data entry skills
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Exceptional phone etiquette with experience managing multi-line phone systems and customer support interactions
- Bilingual abilities are a plus to support diverse client communication needs
- Demonstrated ability to handle confidential information with discretion and professionalism
