Job Summary
Texas Pain Experts is seeking a professional, organized, and empathetic Medical Front Office Coordinator to join our clinical team. This position serves as the primary point of contact for patients entering our clinic or contacting us via phone. The ideal candidate will manage patient registration, insurance verification, appointment scheduling, and front-desk administrative duties. Because we specialize in pain management, a high level of compassion, patience, and attention to detail is required to ensure a smooth, compliant, and welcoming experience for our patients.
Essential Duties and Responsibilities
- Manage the check-in and check-out process for patients, ensuring all demographic, medical history, and insurance information is accurately entered into the Electronic Health Record (EHR) system.
- Answer incoming phone calls promptly, address patient inquiries, and schedule or reschedule appointments according to clinic protocols.
- Verify patient insurance coverage, collect co-pays, deductibles, and outstanding balances at the time of service, and issue receipts.
- Coordinate patient referrals and request prior authorizations for diagnostic imaging and pain management procedures as directed by providers.
- Maintain strict patient confidentiality and adhere to all HIPAA regulations and compliance standards.
- Monitor and manage the daily schedule to optimize patient flow and minimize wait times for providers and patients.
- Organize and maintain front-office files, incoming faxes, medical records requests, and general clinical correspondence.
- Keep the reception and waiting areas clean, organized, and professional throughout the day.
Qualifications and Skills
- High School Diploma or equivalent required; an Associate degree in Healthcare Administration or related field is preferred.
- Minimum of 1–2 years of experience working in a medical front office, preferably within an orthopedic, neurology, or interventional pain management practice.
- Proficiency with Electronic Health Record (EHR) and Practice Management software.
- Proven understanding of medical terminology, insurance verification processes, and commercial/government payer guidelines.
- Strong multitasking abilities with the capacity to handle a high volume of phone calls and patient interactions efficiently.
- Excellent verbal and written communication skills.
- Demonstrated ability to remain calm, professional, and empathetic when interacting with patients experiencing chronic pain.
