THIS ROLE REQUIRES NIGHTS, WEEKENDS, AND SOME HOLIDAYS
Client Care & Patient Support Assistant (CSR / Veterinary Assistant Hybrid)
Shenandoah Veterinary Associates | Roanoke, VA Privately owned after-hours and weekends emergency hospital, opened December 2025
Shenandoah Veterinary Associates is building a supportive, compassionate, and client-centered team to serve pets and their families during some of their most stressful moments. This hybrid role cross-trains you in both front-of-house client service and hands-on patient care support — giving you the variety of two roles while working in one focused role per shift.
Mission Statement
Our mission is to provide exceptional veterinary care that honors the human-animal bond through compassionate service, advanced diagnostic capabilities, and unwavering dedication to the health and wellbeing of every pet we serve. We are committed to empowering pet owners with knowledge, supporting them with empathy, and delivering the highest standard of medical excellence at every visit.
Position Overview
As a Client Care & Patient Support Assistant, you'll be cross-trained in both front desk client service and hands-on patient care support. You won't be splitting your attention between both roles during the same shift — instead, you'll be scheduled into one role at a time: some shifts you'll work the front desk as a Client Service Representative, and other shifts you'll work in treatment as a Patient Care Assistant, depending on the hospital's staffing needs. This gives you broad exposure and skill growth across the hospital while keeping each individual shift focused.
We're looking for candidates with experience in one or both of these areas — client service or hands-on animal care. If you've worked the front desk of a veterinary or medical office, you already know how to keep clients calm and informed; we'll train you on the clinical side. If you've worked as a vet assistant, kennel tech, or Vet Tech student, you already know how to handle patients and support the medical team; we'll train you on the client-facing side. Either background gives you a strong foundation for this role.
Key Responsibilities
You'll be trained in and expected to perform both of the following role sets. Your schedule will designate which role you're working each shift.
When scheduled as Client Service Representative (front desk):
- Greet clients warmly and manage check-in/check-out processes
- Answer phones, triage appointment needs, and route calls appropriately
- Collect medical history, explain hospital processes, and guide clients through stressful situations
- Process payments, estimates, and financial discussions professionally
- Maintain accurate client and patient records
- Communicate compassionately with clients during emergency and stressful situations
- Assist with administrative tasks, filing, forms, and documentation
- Uphold a clean, organized, and welcoming front desk environment
- Coordinate client movement and timelines to keep the hospital running smoothly
When scheduled as Patient Care Assistant (treatment area):
- Assist with patient restraint, triage support, and handling
- Provide comfort care: walking, feeding, cleaning, monitoring, and documenting
- Support LVTs and doctors during procedures and treatments
- Prepare and maintain exam rooms, treatment areas, and equipment
- Assist with lab samples, radiology positioning, and in-house diagnostics (training provided)
- Maintain hospital cleanliness, organization, and restocking
- Help coordinate the flow of the emergency department
In both roles:
- Collaborate closely with technicians, assistants, and doctors
- Participate in training as we build protocols and systems for our hospital
Scheduling
This is a cross-trained hybrid position — you'll work one role per shift, with your schedule alternating between CSR shifts and Patient Care Assistant shifts based on hospital needs. Full training in both roles is provided regardless of which one you have prior experience in.
Requirements
- Experience in at least one of the following is required: Client service/customer-facing experience in a veterinary or medical setting, or Hands-on animal care experience as a vet assistant, kennel tech, Vet Tech student, or similar
- Candidates with experience in both areas are especially encouraged to apply
- Strong communication skills and ability to remain calm under pressure
- Excellent organization and multitasking abilities
- Comfortable working in a fast-paced emergency setting
- Basic animal-handling and restraint skills, or willingness to learn (training provided for candidates coming from a client-service background)
- Ability to learn new PIMS software (Instinct experience is a plus but not required)
- Compassionate, patient, and able to support clients during difficult moments
- Team player with a positive, reliable, and professional attitude
- Ability to lift 40+ lbs, stand for extended periods, and handle moderate physical activity
- Ability to work a flexible schedule, including nights and weekends
