Lehman Volvo Cars is a family owned and operated Volvo Cars retailer. Due to a retirement, we are seeking an experienced, career minded, dynamic and highly organized Automotive Office Manager to lead our dealership’s administrative operations with energy and precision. This pivotal role combines automotive office management, team supervision, vendor coordination, and financial oversight to ensure seamless daily functions including title work, contract funding, and all other functions of an automotive office manager. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional communication skills, strong organizational abilities, and a proactive approach to problem-solving. Duties
- Oversee all administrative functions within the automotive dealership, including front desk operations and clerical tasks
- Manage schedule coordination for the Admin team
- Supervise office staff, providing training and development opportunities to enhance team performance
- Handle human resources responsibilities such as onboarding new employees, maintaining personnel records, and supporting payroll processes using Paylocity and accounting software such as Dealertrack.
- Coordinate vendor relationships for office supplies, maintenance services, and other external partnerships
- Maintain accurate bookkeeping records, process invoices, and manage budgeting activities to ensure financial health of the office
- Ensure efficient phone etiquette across multi-line phone systems and manage front desk duties with professionalism
- Implement filing systems and document management procedures to streamline office operations
Requirements
- Proven experience in Automotive office management or administrative roles within an automotive setting for at least three years is a requirement.
- Supervising experience with a track record of leading small teams effectively and becoming part of an executive management team and the ability to report directly to the owner of the dealership
- Strong proficiency in DMS for bookkeeping and payroll processing
- Excellent organizational skills with the ability to manage multiple schedules and priorities simultaneously
- Experience in vendor management, budgeting, and basic bookkeeping practices
- Knowledge of human resources procedures including onboarding, training, and employee relations
- Exceptional communication skills—both verbal and written—and professional phone etiquette
- Ability to handle sensitive information discreetly while maintaining a positive attitude in a fast-paced environment

Pay: $65,000.00 - $85,000.00 per year
