Role Overview
The Assistant Administrator to the CEO provides high-level administrative and strategic support, acting as a trusted right hand on initiatives that drive company growth. This role blends traditional executive support with hands-on involvement in branding, market research, and prospecting, making it ideal for someone who wants exposure to the strategic side of the business while keeping day-to-day operations running smoothly. The ideal candidate is a flexible problem-solver with excellent communication skills, sound judgment, and a genuine interest in business development and marketing.
Key Responsibilities
Growth & Strategic Initiatives
- Support the CEO in planning and tracking company growth initiatives, including goal-setting, timelines, and progress reporting.
- Conduct market research and data analysis to inform strategic decisions and identify new growth opportunities.
- Assist in the preparation of proposals, pitch decks, and materials for strategic partnerships and business initiatives.
- Coordinate cross-functional projects directed by the CEO, following up with stakeholders to ensure deadlines are met.
Branding
- Help maintain consistent branding and messaging across company materials, presentations, and communications.
- Coordinate with marketing resources and vendors on branded materials, website updates, and social media content.
- Support planning and logistics for events, conferences, and speaking engagements that build the company's brand presence.
Prospecting & Business Development
- Identify and research prospective clients and partners, helping build and maintain a qualified pipeline.
- Support outreach efforts, including drafting introductory communications and coordinating follow-up.
- Maintain and update CRM records to ensure accurate tracking of leads, prospects, and opportunities.
- Assist in preparing reports on prospecting and business development activity for the CEO's review.
General Administration
- Assist with day-to-day administrative and office operations as needed, in support of the broader administrative team.
- Help oversee compliance tracking related to organizational certifications and policies, as directed.
- Take on additional projects and duties as assigned by the CEO.
Executive Support
- Manage the CEO's Business Development meetings, correspondence, anticipating needs and proactively resolving scheduling conflicts.
- Draft, proofread, and prepare correspondence, presentations, and internal communications on behalf of the CEO.
- Serve as a liaison between the CEO and internal teams, and external partners, exercising discretion with confidential information.
- Organize and prioritize incoming information and requests, escalating time-sensitive items appropriately.
Skills & Experience
- Bachelor's degree preferred; equivalent experience will be considered.
- 2+ years of experience in an executive assistant, administrative, marketing, or business development role.
- Outstanding written and verbal communication skills.
- Strong research, analytical, and problem-solving abilities.
- Excellent organizational skills with the ability to multi-task and prioritize competing demands.
- Comfortable working with CRM software, MS Office, and marketing or presentation tools.
- High degree of discretion, professionalism, and sound judgment when handling confidential information.
- Self-starter who is comfortable working closely with senior leadership in a fast-paced, growing company.
