MEMBERSHIP DATA & OPERATIONS COORDINATOR
Location: Denver Metro Area
Full-Time | Hybrid Schedule*
*Occasional early-morning, evening and off-site support required.

SUMMARY
The Membership Data & Operations Coordinator is responsible for maintaining accurate, reliable member, sponsor, engagement, and event data across CTA systems. Reporting to the Senior Vice President of Operations and Programming, this role manages recurring data entry, database maintenance, invoicing, tracking, reporting, and data-quality processes and will develop strong expertise in CTA’s GrowthZone database.
This is a data-centered operations role for someone who is highly accurate and skilled in spreadsheet and data management. The position owns recurring membership and sponsorship invoicing and provides hands-on support for CTA events, board activities, office operations and other organizational priorities as needed.
REPORTING STRUCTURE
Reports to: Senior Vice President of Operations and Programming
Works closely with: Membership, Sponsorship, Events, Finance, and Executive Leadership staff
Primary focus: CRM and database accuracy, recurring data maintenance, invoicing and tracking, spreadsheet management, reporting, and operational coordination
PRIMARY RESPONSIBILITIES
1. Membership Renewal Invoicing and Records
- Complete monthly membership renewal invoicing in GrowthZone.
- Process invoice adjustments, track invoice status, and coordinate refunds accurately.
- For each member renewal, send the thank-you letter and renewal receipt and provide an Excel spreadsheet of the member’s GrowthZone roster.
- Maintain complete and accurate renewal and billing records in GrowthZone and internal tracking tools.
2. GrowthZone Database Management and Reporting
- Create and update all new member company profiles and individual rosters in GrowthZone.
- Complete ongoing GrowthZone member profile and roster updates, ensuring records are accurate, consistent, and complete.
- Update and maintain GrowthZone welcome email templates and related automated communications.
- Develop strong GrowthZone expertise and serve as CTA’s go-to internal resource for system support, process questions, and troubleshooting.
- Pull GrowthZone reports, lists, and data exports as requested.
- Apply consistent data-entry standards and identify, research, and correct incomplete or inaccurate records.
3. Sponsorship Invoicing and Tracking
- Own CTA’s sponsorship invoicing processes, including creating and distributing invoices, processing adjustments, coordinating refunds, tracking payment status, following up on outstanding payments and maintaining accurate billing records.
4. Membership Data, Engagement Tracking, and Email Management
- Manage the [email protected] inbox, monitor incoming messages, respond to routine requests, and route questions to the appropriate team member.
- Manage CTA’s membership engagement tracker.
- Gather membership and engagement data from team members and follow up to resolve missing or unclear information.
- Update membership and engagement spreadsheets, including member records and related data fields.
- Pull, update, and format membership data for board reports.
5. Board Support
- Maintain and update board member lists and contact information.
- Update board calendar invitations, including adding and removing attendees as needed.
- Collect and track board meeting RSVPs.
- Coordinate catering for board meetings.
6. Event Data and Registration Support
- Register event attendees as needed and maintain accurate registration records.
- Create C-Level event complimentary registration codes in GrowthZone.
- Track complimentary code usage and maintain accurate redemption records.
- Communicate complimentary codes and registration instructions to members.
- Send WIT Conference table purchasers reminders to fill their seats.
- Track WIT Conference table purchases and seats filled, and follow up on incomplete attendee information.
- Provide hands-on support for CTA events before, during and after each program, including registration, attendee communications, name badges, materials, room setup, check-in, sponsor support and post-event record updates.
7. Office Management Support
- Monitor and replenish office and meeting supplies.
- Provide basic office management support needed to maintain an organized and functional workplace.
- Provide additional administrative, event and operational support across the organization as assigned.
REQUIRED SKILLS & EXPERIENCE
- At least two years of relevant experience managing data, spreadsheets, records or recurring administrative processes. Experience gained through employment, internships, volunteer work, academic projects or other comparable settings may be considered.
- Proficiency with Microsoft 365, particularly Excel and Word, as well as familiarity with Google Workspace.
- Experience maintaining a CRM, membership database, relational database or similar data system is preferred. Prior GrowthZone experience is a plus.
- Strong spreadsheet and data-management skills, including the ability to organize, clean, filter, sort, reconcile and maintain detailed data across multiple spreadsheets and systems.
- Experience with invoicing, payment tracking, billing records or related administrative processes is preferred.
- Exceptional accuracy and attention to detail, with the ability to identify discrepancies and maintain reliable records across multiple systems.
- Ability to gather data from multiple stakeholders, follow up on missing information, and produce complete recurring reports on deadline.
- Strong written communication and professional customer-service skills for managing a shared email inbox and communicating with members.
- Ability to manage recurring processes, deadlines, and high-volume data entry with consistency and follow-through.

- Service-oriented and able to communicate clearly with colleagues, members, sponsors, and board members.
