Job Summary
The Administrative Assistant supports the Nursing Department by managing participant documentation and ensuring all required paperwork is accurately filed, tracked, and completed in a timely manner. This role is responsible for preparing and maintaining checklists related to primary care physician requirements and final admission documentation for the Adult Day Health Care (ADHC) center, helping ensure compliance with regulatory and program standards.
Key Responsibilities
- File and organize all participant documentation in accordance with department and regulatory requirements, maintaining accurate and up-to-date records.
- Prepare and manage checklists outlining required documentation to be requested from participants' primary care physicians (e.g., medical clearance, physician orders, treatment plans, and other required forms).
- Track outstanding physician documentation and follow up as needed to ensure timely completion.
- Prepare and maintain the final admission checklist required for participant enrollment into the Adult Day Health Care center, confirming all required documents are received and complete prior to admission.
- Coordinate with nursing staff to ensure documentation aligns with participant care plans and admission timelines.
- Maintain confidentiality of all participant records in accordance with HIPAA and organizational policies.
- Assist nursing staff with general administrative support as needed, including data entry, filing, and communication with outside providers.
Qualifications
- High school diploma or equivalent required; associate degree or relevant certification preferred.
- No Prior administrative or medical office experience required.
- Strong organizational skills with high attention to detail.
- Ability to manage multiple documentation deadlines simultaneously.
- Familiarity with HIPAA regulations and confidential handling of medical records.
- Strong written and verbal communication skills for coordinating with physicians' offices and internal staff.
Pay: $18.00 - $20.00 per hour
