As a New Patient Onboarding Specialist, you are not just coordinating logistics, you are the trusted guide who ensures every patient feels seen, supported, and fully prepared to begin their healing journey with confidence.
Your Impact:
You will serve as the first meaningful connection patients have with our clinic, setting the tone for trust, clarity, and care.
Guide Patients with Compassion & Confidence
- Act as the primary point of contact for new patients and their families, answering questions, easing concerns, and providing clarity during an often emotional time.
Create a Seamless, White-Glove Experience
- Coordinate every detail of the onboarding journey, ensuring patients feel supported, informed, and prepared before they arrive
Ensure Clinical Readiness
- Audit upcoming patient schedules daily, confirm appointments, verify completion of required questionaries, consent forms, and ensure all accommodations are in place.
Drive Operational Excellence
- Initiate patient charts, collect medical records, distribute questionnaires, and proactively manage completion timelines.
Bridge Care & Financial Clarity
- Partner with Billing and Finance to confirm deposits and guide patients through financial expectations with empathy and transparency.
Be a Reliable, Responsive Resource
- Manage incoming calls, messages, and emails with professionalism, warmth, and urgency.
Continuously Improve the Patient Experience
- Identify inefficiencies, solve bottlenecks, and elevate onboarding systems and communication workflows
What You Bring:
- 3–5 years of experience in patient coordination, concierge care, or clinical scheduling
- (integrative medicine or oncology experience strongly preferred)
- Strong proficiency in EMR systems (eClinicalWorks a plus)
- Advanced organizational skills with the ability to manage multiple moving parts without missing details.
- Experience building and managing tracking systems or dashboards (GoHighLevel Preferred)
- Exceptional communication skills, clear, compassionate, and confident, especially in emotionally sensitive situations.
- A calm, solutions-oriented mindset in a fast-paced, high-touch environment.
