We are seeking a highly organized, detail-oriented Administrative Assistant to provide administrative support across multiple areas of our business. This position is ideal for someone who enjoys solving problems, managing multiple priorities, and contributing to a collaborative team environment.
General Responsibilities
- Prepare and process customer invoices
- Perform accurate data entry
- Handle general office administrative tasks
- Maintain records and filing systems
- Communicate with customers regarding accounts receivable
- Organize and maintain office files and supplies
- Perform light office cleaning and maintain a professional workspace
- Greet customers, vendors, and visitors
- Answer, screen, and route incoming phone calls
- Assist with light shipping and receiving
- Organize, stock, and maintain shop inventory
- Proofread documents for accuracy and clarity
- Assist with new customer onboarding
Required Qualifications
- Excellent technical writing, grammar, and proofreading skills
- Strong attention to detail
- Exceptional organizational and administrative abilities
- Proven problem-solving skills
- Self-motivated with the ability to work independently
- Ability to manage multiple priorities and meet deadlines
- Excellent customer service and communication skills, including phone, email, text, and in-person interactions
- Intermediate to advanced proficiency with Microsoft Office, particularly Excel
- Experience with QuickBooks or similar accounting software
- Mechanical aptitude is a significant plus
- Enjoys collaboration, teamwork, and continuous improvement
Job Details
- Schedule: 32–40 hours per week
- Workdays: Monday, Tuesday, Wednesday afternoon, Thursday, and Friday
Compensation
- Hourly wage, based on qualifications and experience
