Real Estate Administrative Coordinator
A successful, high-producing real estate team in the Lehigh Valley is seeking a dependable and highly organized Administrative Coordinator.
This position supports the team’s daily operations, listings, lead database and agent communication. We are looking for someone who enjoys creating order, following through and making sure important details do not fall through the cracks.
This is an administrative position—not a sales role.
Primary Responsibilities
Listing Administration
- Coordinate new listings from preparation through launch
- Collect and organize listing documents and property information
- Enter and update listings in the MLS and team systems
- Schedule photography, signs, lockboxes and other vendors
- Review listing information for accuracy
- Track outstanding listing items and communicate updates
- New Team Member Onboarding
CRM and Lead Administration
- Update records based on information provided by agents
- Notify leadership of leads or follow-up issues requiring attention
- Help ensure lead sources and connected systems are working properly
Team and Office Coordination
- Maintain team calendars, meetings and recurring deadlines
- Schedule meetings, training sessions and team events
- Prepare agendas, take notes and track follow-up items
- Assist with agent onboarding and system access
- Maintain task-management systems and administrative checklists
- Communicate with agents, vendors and company staff
- Help organize team contests, recognition and special projects
Marketing Support
- Coordinate listing and team marketing materials
- Assist with basic social-media scheduling and content organization
- Confirm that property information, graphics and links are accurate
- Coordinate with photographers, designers and marketing vendors

Preferred Experience
Experience with any of the following is helpful but not required:
- Real estate administration
- MLS systems
- CRM Systems
- Social Media Experience
- Google Workspace or Microsoft Office
- Pennsylvania real estate license
Training will be provided on team-specific systems and procedures.
Schedule
- Full-time
- Monday through Friday
- 8:00A –4:00P or 9:00A-5:00P (flexibility)
- Primarily in-office in the Lehigh Valley
- Can be semi-flexible
