Position Overview
We are looking for an organized, detail-oriented Office Administrator to keep our daily operations running like a well-oiled machine. In this role, you will be the backbone of our office, handling everything from customer invoicing and carrier paperwork to answering phones and assisting our freight brokers with tracking shipments.
The ideal candidate is a proactive problem-solver who doesn't mind wearing multiple hats and can keep a cool head when the logistics world gets busy.
Key Responsibilities
- Logistics & Operational Support:
- Assist brokers with "track and trace" by calling carriers and drivers to verify pick-up and delivery times.
- Input load details and update shipment statuses accurately in our TMS (Transportation Management System).
- Collect and verify critical shipping documents, including Rate Confirmations, Bills of Lading (BOLs), and Proof of Deliveries (PODs).
- Billing & Financial Administration:
- Process carrier invoices and prepare customer billing files.
- Set up new customers and carriers in our system, ensuring all insurance and authority paperwork is active and compliant.
- Follow up on outstanding invoices and assist with basic accounts receivable/payable tasks.
- General Office Task:
- Be the first point of contact for incoming phone calls, routing them to the correct broker or handling general inquiries.
- Manage office supplies, mail, and general administrative files.
- Help maintain a clean, organized, and welcoming office environment.
Qualifications & Skills
- Experience: 1–2 years of administrative, office support, or customer service experience. Experience in trucking, shipping, or logistics is a major plus, but we are willing to train the right person with a great attitude.
- Tech-Savvy: Strong proficiency in Microsoft Office (Excel, Word, Outlook) and a quick ability to learn new software (like our TMS).
- Communication: Excellent written and verbal communication skills. You aren't afraid to pick up the phone and talk to truck drivers, dispatchers, or customers.
- Detail-Oriented: A sharp eye for spotting errors in paperwork (like mismatched rates or missing signatures).
- Adaptability: The logistics industry moves fast. You should be comfortable pivoting tasks when urgent issues pop up.
