Position Summary
The Administrative & Classroom Assistant plays a vital role in supporting the daily operations of Heartwood Public Charter School while helping to ensure a smooth, positive, and well-organized experience for students, staff, and families. Serving as a central point of communication and coordination, this position supports the Leadership Team, maintains essential records and systems, and helps create a welcoming and efficient school environment.
In addition to administrative responsibilities, the Administrative & Classroom Assistant provides consistent classroom coverage throughout the school day, supporting teacher breaks, meetings, transitions, and other schoolwide needs. This role requires flexibility, strong organizational skills, professionalism, and a genuine commitment to supporting students and staff across all grade levels.
The ideal candidate is organized, dependable, collaborative, and student-centered, with the ability to balance administrative responsibilities while adapting to the changing needs of a dynamic school environment.

Terms of Employment
This is a school-year position that generally follows the academic calendar, including approximately 13 additional professional development days to be scheduled immediately before and/or after the school calendar.
The position includes:
- 7 paid sick days per academic year
- 2 paid personal days per academic year
- Scheduled school vacations and holidays

Qualifications
- Meet required state and federal background checks
- High school diploma required; associate's or bachelor's degree preferred
- Strong organizational, communication, and interpersonal skills
- Ability to maintain confidentiality and professionalism
- Ability to work collaboratively with colleagues, Leadership Team, students, and families
- Ability to prioritize tasks and manage multiple responsibilities effectively
- Comfort working with technology and student information systems
- Experience working with children and/or in a school setting preferred
- Certification in CPR and First Aid (or willingness to obtain)
- Ability to adapt to changing priorities and provide flexible support throughout the school day
Administrative Assistant Responsibilities
- Answer the school phone and greet visitors in a professional and welcoming manner
- Serve as the first point of contact for families and visitors, supporting clear and timely communication
- Maintain organized filing systems for student and personnel records
- Assist the Leadership Team with the creation, copying, distribution, and organization of enrollment and other school documents
- Support schoolwide communication as directed by the Leadership Team
- Maintain student attendance records and support Student Information System data entry and upkeep
- Support the ordering and inventory of school supplies and materials
- Assist with general administrative tasks including copying, printing, and preparation of materials for staff and classrooms
- Support daily school operations, including helping to coordinate schedules, routines, and transitions
- Provide care and supervision for students who are unwell, including contacting families and coordinating student pick-up as needed
- Administer medications in accordance with school policies and procedures
- Maintain confidentiality and professionalism in handling student and staff information
- Support a safe, organized, and welcoming front office and school environment
Classroom Coverage Responsibilities
- Provide scheduled classroom coverage to support teacher breaks and transitions throughout the school day
- Fill in for teachers during meetings and provide additional classroom coverage as needed
- Serve as a flexible support across grade levels, assisting classrooms based on daily needs
- Support students in maintaining routines, expectations, and engagement throughout the school day
- Assist with classroom preparation, materials, and organization as needed
- Help maintain a safe, respectful, organized, and clean environment in all school spaces
General Professional Responsibilities
- Participate in staff meetings and team meetings as directed by the Leadership Team
- Participate in professional development opportunities
- Maintain a safe, respectful, positive, organized, and clean working environment
- Partner with colleagues, the Leadership Team, and families to meet the needs of students
- Follow classroom accommodations for Individual Education Plans (IEPs) and 504 Plans
- Communicate professionally with students, staff, and families
- Act as a mandated reporter for suspicions of neglect and abuse
- Model Heartwood’s values in visible daily actions
- Model peaceful and respectful communication for students in all interactions
- Consistently utilize the Conscious Discipline approach to student support and behavior
- Fulfill any other responsibilities deemed relevant and necessary to the position
Pay: $20.00 - $24.00 per hour
