Position Summary
The Business Assistant supports the day-to-day operations that keep our newsroom and business running smoothly. This is a hands-on, behind-the-scenes role spanning social media, web publishing, customer service, light bookkeeping, and general administration. You'll work closely with the Editor in Chief and bookkeeper, and you'll be a key point of contact for the Community Power Network-Recorders program. It's an ideal fit for someone organized, tech-comfortable, and service-minded who wants meaningful part-time work supporting local journalism.
Key Responsibilities
Social Media
● Monitor the social content calendar and fill gaps as needed
● Create reels and build posts with confidence
● Manage primarily Facebook and Instagram
Website & Technology
● Upload stories to the website via the backend (platform: Indiegraf)
● Post advertisements and manage ad users
● Pull analytics and run reports for the Executive Director
Communications & Customer Service
● Answer inquiries that come through the website
● Handle subscriber service: cancellations, address changes, and general questions
● Send donor acknowledgments, subscription confirmations, and thank-yous
● Serve as point of contact for Recorders and maintain visibility into Recorder scheduling
Finance (Basic)
● Enter transactions into QuickBooks Online; post payments and update records
● Set up new customers (no invoicing required — handled by the bookkeeper)
● Prepare deposits and take them to the bank
● Training provided by the Editor in Chief and/or bookkeeper
Administration & Operations
● Maintain company equipment: asset tagging, asset spreadsheet, and policy acknowledgments
● Handle mailing tasks, including mailed checks
● Provide administrative support for new employees, including compliance paperwork (W-9s, etc.)
● Twice monthly, deliver newspapers to the post office once printed; check the PO Box as needed
Advertisers & Sponsors
● Send advertisers verification that their ad ran after publication
● Complete publisher affidavit forms for legal ads
Other
● Assist with basic event-planning logistics
Qualifications
● Comfortable learning and navigating web and software platforms (social media tools, website backends, QuickBooks Online)
● Strong organizational skills and attention to detail
● Friendly, professional customer-service approach
● Reliable, self-directed, and able to manage a flexible schedule
● Prior bookkeeping, administrative, or social media experience is a plus but not required — training is provided
Physical Requirements
● Ability to lift up to 5 lbs
● Ability to work on-site and run occasional errands (bank, post office)
