General Statement of Duties:
Provide clerical, administrative, and customer service support to Environmental Health programs in order to support efficient office workflow. Duties include processing applications, maintaining records, responding to inquiries, preparing correspondence and reports, entering data, processing fees, and performing other routine office support activities.
Supervision Received: Work is performed under the general supervision of the Environmental Health Director or designee.
Supervision Exercised: None.
Essential Duties and Responsibilities: An employee in this class may be called upon to do any or all of the following: These examples do not include all of the tasks which an employee may be expected to perform.
· Receive, review, and process applications for well, septic, and other Environmental Health services; assist applicants with forms and basic application questions.
· Provide customer service to the public, contractors, outside agencies, and staff by phone, email, and in person.
· Enter, update, and maintain accurate information in program databases, state systems, GIS software, and electronic or paper files.
· Compile routine program data and assist with preparation of reports for local and state reporting requirements.
· Prepare, receive, send, sort, file, and maintain correspondence, forms, records, reports, mail, and other program documents in accordance with department procedures and retention schedules.
· Receive, process, and record program fees in accordance with established procedures.
· Make appropriate referrals to agency staff or outside agencies as needed.
· Handle and maintain confidential information appropriately.
· Assist with or assume duties of the Environmental Health Office Coordinator as needed.
· Perform duties similar, but not limited to, those listed in the job description during a public health emergency.
· Perform related work as required.
Desirable Education, Experience and/or Qualifications: An employee in this class, upon appointment should have the equivalent of the following training, qualifications and/or experience.
· Graduation from an accredited high school, or GED equivalent.
· At least one (1) year of experience in clerical, secretarial, administrative, or customer service.
· Knowledge of standard office practices, procedures, and equipment.
· Ability to learn departmental programs, procedures, regulations, software systems, and reporting requirements.
· Ability to communicate effectively and professionally with the public, contractors, outside agencies, and staff.
· Ability to maintain accurate records, organize work, meet deadlines, and follow established procedures.
· Computer skills necessary to use word processing, spreadsheet, database, and other office software systems.
· Ability to be trained on department-specific software, state databases, GIS, and other program systems.
· Ability to maintain confidentiality.
· Willingness to participate in job-related training and professional development.
· Valid driver’s license, acceptable driving record, and a personal vehicle with proof of insurance are required.
· Must be able to pass a background check.
Working Conditions and Physical Abilities:
· Work is primarily performed indoors in a normal office setting.
· Work hours may vary based on departmental needs.
· Occasional travel for meetings, trainings, or conferences may be required.
· May be required to assist during public health emergencies or departmental response situations.
· Duties require the ability to sit or stand for extended periods, use a computer and standard office equipment, read printed and electronic materials, and communicate in person, by phone, and electronically.
· The employee may occasionally need to bend, reach, stretch, move throughout the office, or lift and carry up to 25 pounds.
