The Abigail, a 24-bed residential care home for seniors in Redwood City, is looking for a part-time Front Desk Coordinator to work Monday & Thursday (8am-5pm). This position is the first point of contact for residents, families, staff, and visitors.
This role is responsible for answering phones, monitoring cameras, greeting/confirming visitors, assisting residents and guests, managing the radio, organizing documents, and ensuring clear communication throughout the community.
The ideal candidate is organized, compassionate, professional, and comfortable working in a senior care environment. Pay range is $23-$26/hour DOE
Front Desk Operations
- Greet and assist residents, family members, visitors, and vendors in a friendly and professional manner
- Monitor the community’s cameras including front gate visitors for authorized entry
- Manage radios for effective communication with staff
- Manage a multi-line phone system, directing calls and taking detailed messages
- Oversee the community's general email and internal postal/mail distribution
- Maintain a clean, organized, and professional reception area
- Manage incoming and outgoing mail, packages, and deliveries
- Support families and visitors with check-in procedures and guidance around the facility
- Administer COVID tests for visitors or staff (as needed)
Administrative Support
- Responsible for administrative tasks including accurate filing, data entry, and resident record maintenance
- Order groceries and office supplies; proactively manage inventory for resupply needs
- Receive deliveries, coordinate with maintenance for work orders, and manage sign-ins for visiting healthcare providers (hospice, physical therapy, etc.)
- Maintain resident and visitor records with confidentiality and accuracy
- Relay messages and information to residents, staff, and management promptly
- Report safety concerns or unusual incidents to management immediately
Qualifications
- High school diploma or equivalent required
- Previous experience in reception, customer service, healthcare, or senior living
- Strong interpersonal and communication skills
- Excellent organizational and multitasking abilities
- Good tech/computer skills (Microsoft Office, Google Workspace, email, scheduling, calendaring, etc.)
- Ability to maintain confidentiality and professionalism
- Ability to pass criminal background check (LiveScan)
- Must demonstrate patience, calmness when working with seniors
- Friendly and welcoming demeanor
- Strong problem-solving abilities and detailed
- Reliable and dependable
