We are seeking a compassionate, organized, and guest-focused Medical Assistant / Guest Coordinator to join our Vida Department and support both guest care and administrative operations within our wellness environment.
Overview
We are looking for a dedicated Medical Assistant / Guest Coordinator to join our team. This role combines clinical support with guest service responsibilities, ensuring a seamless experience for visitors while providing essential medical assistance. The ideal candidate will possess a strong background in healthcare settings such as dermatology, hospital medicine, or urgent care, along with excellent patient service skills.
Responsibilities
- Assist healthcare providers with patient intake, vital signs measurement, and documentation within electronic health record.
- Coordinate patient flow by scheduling appointments, managing wait times, and ensuring smooth clinic operations.
- Provide compassionate patient care by addressing inquiries, explaining procedures, and ensuring comfort throughout visits.
- Maintain accurate medical records with ICD coding and detailed documentation of patient interactions.
- Ensure adherence to safety standards and infection control protocols within the clinical environment.
- Proven experience as a Medical Assistant or Guest Coordinator in settings such as dermatology clinics, hospital medicine units, or urgent care centers.
- Knowledge of medical terminology, physiology, anatomy, and ICD coding practices.
- Familiarity with EHR systems and medical administrative support functions.
- Certification in Basic Life Support (BLS) is required.
- Strong patient service orientation with excellent communication skills and attention to detail.
- Ability to thrive in fast-paced outpatient or inpatient settings including PICU or medical-surgical units.
- Assist with guest recovery efforts and ensure concerns are handled professionally and compassionately.

Qualifications
- Medical Assistant certification preferred but not required.
- Minimum of 2 years of experience in a medical office, wellness center, spa, hospitality, guest services, or healthcare environment.
- Strong customer service and guest relations experience.
- Experience scheduling appointments and managing calendars.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficiency with Microsoft Office and scheduling software.
- Ability to handle confidential information with professionalism and discretion.
- Bilingual English and Spanish preferred.
- Physical Requirements
- Ability to sit, stand, walk, and move throughout the property for extended periods.
Schedule
This is a full-time position. Flexibility is required, including mornings, afternoons, weekends, and holidays based on operational needs and business demands.
