Department Summary:
Student Accessibility and Accommodation Services (SAAS) is a student-centered unit within the Division of Student Life whose work is guided by best-practice standards and interventions utilizing a multidimensional model of student well-being. SAAS oversees four key resources: Academic Support and Access Partnerships (ASAP), Services for Students with Disabilities (SSD), Adaptive Sports & Fitness (ASF), and Testing Accommodation Centers (TAC), and is committed to promoting accessibility by providing support services, advocacy, and academic accommodations to students with disabilities. SAAS is strongly committed to outreach services to the academic community at large, promoting awareness of disability issues and providing support for equal access for all students. SAAS is a partner to students, faculty, and staff in the pursuit of developing leaders and citizens who will challenge the present and enrich the future. Position Summary:
The individual in this position will support the administrative processes in the Services for Students with Disabilities office, including processing student academic accommodation applications and communications through Accommodate. This role serves as a central operational hub for SSD, requiring independent decision-making, advanced coordination across multiple functional areas, and ongoing evaluation of workflows to support timely and equitable student access. This individual is responsible for student staff who are the first point of contact when students, parents, staff, and faculty connect with the office and also fills that role as needed or as conversations are escalated.
40% SSD Operations - Administrative Support
- Independently receive, review, and process initial contact forms (3,000+ annually) to determine the needs of the student and provide instructions regarding next steps including but not limited to addressing housing, academic, or acute disability related needs
- Ensure accurate and timely processing of disability-related requests in alignment with institutional policy and federal accessibility requirements
- Daily calendar management, including rearranging and rescheduling scheduling meetings day-of, of all SSD staff including Assistant Directors (2), Disability Access Coordinators DACs (11), and Accommodation Specialists (3)
- Monitor staff schedules and exercise independent judgment to reassign student caseloads and adjust appointments to ensure timely access to services
- Process requests related to temporary injuries, including manual scheduling of time-sensitive meetings
- Process requests related to Paratransit and provide program support and ridership education
- Process records requests for graduates and former students, assigning to the appropriate staff member
- Responsible for daily management and responding to the SSD Office email account and Adaptive Sport and Fitness (ASF) email account
- Assist with SSD with project logistics
35% General Office Support
- As students, parents, staff, faculty, and other campus stakeholders connect via phone, email, and/or walk-ins, assess needs and determine appropriate next steps, resources, or escalation pathways
- Train, onboard, and provide ongoing guidance to student staff to ensure consistent service delivery and adherence to office procedures
- Responsible for initiating and tracking purchase requests, monitoring office supply and equipment expenditures, managing vendor relationships, and supporting leadership with budget tracking related to operational needs
- Manage vendor supply relationships
- Maintain a functional office space including the lobby area as well as oversight rotating staff in-person space availability
- Manage multiple phonelines and route calls to appropriate staff or department
- Retrieve, sort, and distribute incoming mail and packages
- Stock and maintain office supplies, loaner equipment, event materials, and office marketing supplies
- Coordinate work with Facilities to communicate repair requests, work orders, and maintenance needs
- Manage troubleshooting technical issues with ITS; submit service and 4Help requests
20% Student Records Management
- Oversee regular housekeeping functions within the case management software system (Accommodate) including running reports, managing follow up communications, updating letter templates and archiving files
- Manage, edit, and implement an organizational system within the student case management software
- Responsible for creating and managing spreadsheets and/or other tracking mechanism related to student, faculty, and parents connecting with SSD
- Collaborate with the SAAS Research, Assessment, and Advocacy Specialist by tracking study participant, survey responses, and incentives through the Human Subject Incentives Program
- Support updates related to Academic Support and Access Partnerships (ASAP) programs within case management software
5% Campus Contributions
- Attend Student Life Support Meetings (Community of Practice, 4x per academic year)
- Attend, participate in, and further report out to SAAS staff information from the (BIRT meetings, emergency protocol, 2x per academic year)
- High school Diploma or GED
- Minimum 4 years of experience in an administrative support role or related service field
- Associate's Degree or beyond
- 2 years of administrative support or related experience
- Experience working with student or client case management software
- Knowledge of University Policies and Procedures
- Knowledge and familiarity with disability services

Posting salary range: $39,650 - $45,600 - Salary may vary depending on qualifications, experience, and education of selected candidate
