Job Position Summary
This position is responsible for effectively and efficiently managing the daily operations of the administration department including the delegation of work and materials to meet company needs, as well as general supervision to ascertain the work performance and safety of employees. Participation in all levels of operations including, but not limited to: daily operations of the office and staff oversite, current and accurate financial statements. Ensure payroll, invoicing, billing, accounts receivable, accounts payable and documentation are correct and handled in a timely manner.
Key Responsibilities
- Maintain accurate financial records and general ledger entries.
- Manage daily office operations, supplies and administrative staff
- Process invoices and purchase orders
- Reconcile bank statements and credit card accounts.
- Support accounts payable and accounts receivable processes
- Prepare reports, spreadsheets for management
- Monitor cash flow and maintain financial reports.
- Answer phones, respond to emails and greet customers/vendors
- Maintain confidentiality of company and employee information
- Assist with hiring coordination and employee orientation
- Hire, transfer, suspend, lay off, recall, promote, discharge, assign, reward and discipline employees.
- Maintain office services by organizing office operations and procedures, preparing payroll, overseeing accounts payable and receivable, reconciling bank accounts, remitting sales tax, remit workers compensation numbers, responding to employee verifications, controlling correspondence, designing and implementing file systems.
- Other duties as assigned by the company president
Qualifications
- High School diploma/GED
- Proven experience as an Office Manager, Administrative Manager, or similar role
- Knowledge of accounting software and payroll systems preferred
- Proficiency in Microsoft Office Suite
- Excellent communication and problem-solving skills
- Ability to multi-task and accomplish tasks despite interruptions.
- Ability to create and maintain accurate, timely and complete records and reports.
- Ability to work standard work hours from 8:00am to 5:00pm plus overtime as needed.
- Possess strong problem-solving skills

- Change management skills.

Job Type: Full-time
Base Pay: $55,000.00 - $80,000.00 per year
