Role Summary: We are seeking a highly organized, detail-driven Quality Control Documentation Specialist to manage the technical verification, onboarding, and compliance tracking of our manufacturing projects. In this role, you will act as the gatekeeper for our order files, ensuring that all technical product specifications, formula data, and label approvals are completely secured and vetted before any order is released to the production floor.
When you are not onboarding new project files, you will support the Quality Control department with general data collection, document auditing, archiving, and compliance maintenance tasks.
Key Responsibilities:
- Technical Onboarding & Verification: Directly contact clients to secure and verify all product specifications and technical data points required to build internal manufacturing records.
- Label & Asset Lifecycle Tracking: Act as the intermediary between clients and our internal QC team to coordinate digital label artwork reviews. Obtain proofs from the client, submit them for internal regulatory review, and communicate required technical adjustments back to the client until final digital sign-off is achieved.
- File Auditing & Gatekeeping: Review all client-provided data for completeness and accuracy. Ensure no project file moves to the production schedule unless all compliance documents and order details are finalized.
- QC Document Management & Archiving: Maintain, organize, and archive physical and digital compliance files, ensuring clean version control and structured digital document hygiene in our master tracking systems.
- Data Collection & Administrative Support: Assist the QC department with routine data logging, compliance reporting, and miscellaneous documentation updates to support continuous operational readiness.
Qualifications:
- 2+ years of experience in an administrative role involving compliance, quality control, technical documentation, or high-volume file processing.
- A "checklist" mentality with an exceptional eye for detail, numbers, and data accuracy.
- Strong professional communication skills for direct client outreach via phone and email.
- High proficiency with Google Workspace (especially Google Sheets) and digital file organization.
- Prior experience in a regulated manufacturing environment (such as dietary supplements, food, cosmetics, or pharmaceuticals) is a plus but not required.
Pay: $20.00 - $23.00 per hour
