Duties
- Manage daily office operations, including overseeing front desk and optical department activities and coordinating administrative tasks to ensure smooth workflow.
- Supervise clerical staff, providing guidance, training, and support to optimize performance and service quality.
- Maintain accurate records through data entry, filing systems, and document management.
- Handle multi-line phone systems with professionalism, ensuring excellent phone etiquette and effective client communication.
- Oversee calendar management, scheduling appointments, meetings, and coordinating events to maximize efficiency.
- Support customer service efforts by addressing inquiries promptly and providing exceptional support at the front desk.
- Ensure office supplies are stocked and organized; manage vendor relationships for office equipment maintenance and procurement.
- Implement organizational procedures that enhance productivity, including proofreading documents and managing correspondence.
- Facilitate effective communication across departments by maintaining clear internal channels and ensuring timely information flow.
Experience
- Proven experience in office management or administrative roles with a focus on clerical support and customer service excellence.
- Demonstrated proficiency with spreadsheets, and communication.
- Strong computer literacy with familiarity in data entry, file management systems, and technical proficiency in office productivity software.
- Prior experience handling multi-line phone systems, phone etiquette, and client communication in a professional setting.
- Experience working in optometrist/medical or dental offices as a receptionist or personal assistant mandatory.
- Excellent organizational skills with the ability to multitask efficiently in fast-paced environments while maintaining attention to detail.
