Job Summary
We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle client inquiries, and support office administration with efficiency and professionalism. Your positive attitude and organizational skills will help create a smooth and welcoming environment for visitors, clients, and team members alike.
Duties
- Greet visitors warmly and direct them appropriately, ensuring a positive first impression.
- Answer multi-line phone systems promptly, professionally, and courteously, directing calls or taking messages as needed.
- Manage appointment scheduling and calendar management to coordinate meetings efficiently.
- Perform data entry tasks accurately using productivity software such as Microsoft Office, spreadsheets, and word processing tools.
- Maintain organized filing systems and handle clerical duties including proofreading, document preparation, and record keeping.
- Support office management tasks including inventory control, filing, and basic administrative support for team members.
- Provide excellent customer service by addressing client inquiries promptly and professionally, both in person and via phone or email.
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent phone etiquette and communication skills across multi-line phone systems.
- Bilingual abilities are a plus to serve diverse client needs effectively.
- Technical proficiency with office management tools such as QuickBooks or similar software preferred.
- Demonstrated clerical experience including filing, proofreading, and document management.
- Ability to prioritize tasks efficiently with excellent time management skills.
- Customer service experience with a focus on client communication and support.
- Computer literacy including typing speed, data entry accuracy, and general office computer skills.
