SURGERY SCHEDULER
Purpose: The Surgery Scheduler is responsible for the scheduling of all surgical appointments, providing a positive first impression of PES and being knowledgeable in complex scheduling scenarios and insurance plans. This includes meeting with patients, answering calls, entering demographic information, scheduling appointments, and providing appointment instructions to patients.
PRIMARY RESPONSIBILITIES:
- Accurately schedule surgical and post-operative appointments.
- Review surgical recommendations, discuss available dates, and confirm scheduling with patients.
- Complete and fax all H&P and medical clearance requests to PCP’s.
- Provide patients with detailed pre and post-operative instructions.
- Answer patient questions regarding surgery logistics, timelines, and preparation.
- Coordinate co-management paperwork and transfer of care documents.
- Prepare surgical charts and surgical paperwork.
- Upload consents, H&Ps, and surgical clearance documents to the EMR.
- Serve as liaison between patients, providers, surgical centers, anesthesia groups, and internal staff.
- Work closely with technicians, billing staff, and surgery center teams to ensure seamless coordination.
- Escalate scheduling conflicts, patient concerns, or unusual circumstances to management promptly.
SECONDARY RESPONSIBILITIES:
- Assist in coordinating surgery dates with providers and surgery centers.
- Assist in obtaining surgical authorizations as needed.
- Assist with non-surgical appointment scheduling as needed.
- Other duties as assigned.

PHYSICAL REQUIREMENTS
This role requires the ability to sit, stand, and use a computer for extended periods, as well as frequent use of telephone and fax, occasional reaching, stooping, bending, kneeling, and crouching, and light physical effort including lifting/carrying up to 25 lbs, in a work environment with noise and interruptions.
EDUCATION AND/OR EXPERIENCE
- High school diploma or equivalent required
- Prior experience in an ophthalmic/optometric setting preferred
KNOWLEDGE, SKILLS, AND ABILITIES
- Knowledge of medical scheduling, surgical coordination, and surgery/procedure terminology
- Proficiency with EMR and practice management (PM) systems
- Demonstrated ability to communicate well with people, both internally and externally, using both written and verbal means
- Exceptional keyboarding and computer skills; must type at least 45 WPM
- Ability to work in a structured environment with a diverse workforce
