The Role
We are seeking an organized, proactive Administrative Assistant based in the US to keep our day-to-day operations running seamlessly. Reporting directly to the Office Manager, you will serve as the backbone of our administrative workflows, handling everything from calendar management and record-keeping to event logistics and onboarding support.
In this role, you will interact with cross-functional team members, assist with client communication materials, and ensure our internal documentation and systems are meticulously maintained. Responsibilities
- Provide core administrative support to ensure smooth daily operations and efficient internal workflow coordination.
- Manage calendar coordination and schedule internal team meetings, client consultations, and key company activities.
- Monitor office supply inventory and coordinate procurement to guarantee the continuous availability of essential team tools.
- Execute general clerical duties, including filing, scanning, document preparation, and other assigned operational tasks.
- Maintain organized, accessible, and accurate company filing systems and digital documentation.
- Perform accurate data entry and update internal software platforms to support client tracking and operational pipelines.
- Assist in maintaining compliance-related records and internal documentation in strict alignment with company policies.
- Draft, format, and organize correspondence, internal reports, and general operational documents as directed by management.
- Support external and internal communication efforts by routing incoming inquiries and assisting with client emails and newsletter distributions.
- Help coordinate logistics for Medblocks’ attendance and participation in industry conferences and trade events.
- Support employee onboarding by preparing documentation and assisting with administrative setups for new hires.
- Track and organize incoming client inquiries and follow-up activities to support client success teams.
Requirements
- 2+ years of administrative support, office coordination, or executive assistant experience (startup or remote experience preferred).
- Proficiency with modern remote work and office tools (e.g., Google Workspace, Microsoft Office, Slack, CRM systems, and cloud-based file management).
- Exceptional attention to detail with proven ability to multi-task, prioritize assignments, and maintain highly structured records.
- Clear, professional written and verbal English communication skills for handling correspondence and internal/external messaging.
- Self-motivated and adaptable, with a strong commitment to privacy, confidentiality, and alignment with our high-trust company culture.
Pay: From $60,000.00 per year
