- Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Coordinate calendar management, schedule appointments, and organize meetings using productivity software such as Microsoft Office and Google Workspace
- Perform data entry tasks accurately within spreadsheets, databases, and bookkeeping systems like QuickBooks
- Handle clerical responsibilities including filing, proofreading documents, and maintaining organized records for easy retrieval
- Support office management activities by overseeing supply inventory, organizing files, and ensuring the office environment is efficient and welcoming
- Provide customer service support by addressing client inquiries via phone or email, offering timely assistance, and maintaining positive client communication
- Assist with specialized roles such as medical or dental receptionist duties when needed, including patient scheduling and document processing
Experience
- Proven office experience with strong organizational skills and the ability to multitask effectively in a fast-paced environment
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for document creation, spreadsheets, and calendar management
- Experience with data entry, filing systems, and clerical tasks that require high attention to detail
- Familiarity with office management software such as QuickBooks for bookkeeping or invoicing is highly desirable
- Bilingual abilities are a plus to support diverse client interactions and team communication
- Previous customer service or front desk experience in medical or dental settings is advantageous
- Strong computer literacy with technical proficiency in handling multiple software applications simultaneously
