We are seeking a highly organized and customer-focused HVAC & Plumbing Dispatcher to coordinate daily service operations for our technicians. The Dispatcher is responsible for scheduling appointments, assigning technicians, communicating with customers, and ensuring efficient routing to maximize productivity while delivering exceptional customer service.
Key Responsibilities
- Schedule and dispatch HVAC and plumbing service technicians for service calls, maintenance, and installations.
- Monitor technician schedules and adjust routes throughout the day to optimize efficiency and respond to emergencies.
- Communicate with customers regarding appointment times, technician arrival updates, and service delays.
- Prioritize emergency calls while balancing routine maintenance and scheduled appointments.
- Coordinate with technicians to ensure they have the necessary job details, equipment, and materials.
- Maintain accurate records of customer information, work orders, and technician notes in the dispatch software.
- Answer incoming phone calls professionally and assist customers with scheduling and service inquiries.
- Work closely with management to maximize daily revenue and technician utilization.
- Follow up with customers to confirm appointments and ensure satisfaction after service completion.
- Process work orders, invoices, and other administrative tasks as needed.
- Maintain clear communication between office staff, technicians, and customers throughout the workday.
Qualifications
- High school diploma or equivalent required.
- Previous dispatching experience in HVAC, plumbing, electrical, or another home service industry preferred.
- Strong customer service and communication skills.
- Excellent organizational and multitasking abilities.
- Ability to work effectively in a fast-paced environment.
- Experience with dispatching or field service management software is preferred.
- Proficiency with Microsoft Office and basic computer applications.
- Ability to remain calm under pressure and make sound decisions when schedules change.
- Strong attention to detail and problem-solving skills.
Preferred Skills
- Knowledge of HVAC and plumbing terminology.
- Experience with GPS routing and scheduling software.
- Ability to prioritize multiple service calls and emergencies.
- Strong teamwork and collaboration skills.

Work Schedule
- Full-time
- Monday–Friday 8:00 AM-5:00 PM
