Overview
We are seeking a highly organized and proactive Scheduling Coordinator for home care agency to join our team. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to manage multiple schedules efficiently. As a Scheduling Coordinator, you will be responsible for coordinating client schedules, managing caregivers schedules, monitor electronic visit verifications, and ensuring smooth daily operations across various departments. This role offers an opportunity to contribute to a dynamic organization by maintaining effective scheduling systems and supporting overall office productivity.
Duties
- Manage and coordinate schedules for multiple members
- Utilize office management software and productivity tools such as Microsoft Office, Google Workspace, and spreadsheets to organize appointments and meetings.
- Handle incoming calls through multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer service skills.
- Maintain accurate records through data entry, filing, and proofreading of scheduling documents and correspondence.
- Support office management tasks including calendar management, filing systems, and complaint reporting.
- Assist with client communication, follow-up scheduling, and ensuring timely responses to inquiries in both English and bilingual contexts if applicable.
- Prioritize tasks effectively to enhance overall office productivity while maintaining high standards of accuracy and organization.
Qualifications
- Proven experience in office management or administrative roles with a focus on scheduling coordination.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry tools.
- Experience working with multi-line phone systems and providing excellent customer support via phone communication.
- Bilingual abilities are preferred to facilitate diverse client interactions.
- Demonstrated organizational skills with the ability to manage multiple priorities efficiently in a fast-paced environment.
- Previous experience in medical receptionist roles or personal assistant positions is a plus.
- Excellent typing skills, proofreading skills, and attention to detail are essential for success in this role.
