Part-Time Construction Estimator & Office Coordinator

About MK Finishes
MK Finishes is a growing flooring contractor serving Boise, McCall, Ketchum, Sun Valley, and surrounding areas. We specialize in tile, hardwood, carpet, and resilient flooring for custom homes, high-end remodels, multifamily projects, and select commercial work.
We work closely with builders, designers, homeowners, vendors, and installation crews. Our company is growing quickly, and we are looking for an organized, detail-oriented person who can help strengthen our estimating and office systems.
Position Overview
The Construction Estimator & Office Coordinator will support the owner with estimate preparation, project setup, proposal organization, job costing, project buyouts, and basic bookkeeping administration.
This person should be comfortable reviewing construction plans, organizing detailed information, following established estimating procedures, and taking ownership of assigned tasks without requiring constant direction.
The ideal candidate is analytical, organized, dependable, and comfortable working in a growing company where systems are still being improved.
Primary Responsibilities:
Estimating and Proposal Support
- Review construction plans, finish schedules, specifications, and bid documents
- Complete or assist with flooring and tile takeoffs
- Organize project quantities by room, product, and installation scope
- Request material pricing from vendors
- Request labor pricing from subcontractors when needed
- Build estimates using company templates and pricing standards
- Prepare professional proposals for owner review
- Identify missing plans, selections, quantities, and scope information
- Track bid deadlines and proposal follow-ups
- Maintain estimating templates, pricing sheets, and historical job information
- Assist with estimated-versus-actual job-cost reviews
Project and Office Coordination
- Create new projects in the company’s project-management system
- Create and maintain organized project folders
- Keep client, vendor, and project information current
- Track project status, deadlines, approvals, and next steps
- Maintain CRM records and sales follow-up reminders
- Organize contracts, proposals, vendor quotes, purchase documents, and project correspondence
- Help prepare job information for installers and subcontractors
- Communicate professionally with vendors, builders, clients, and team members
- Identify open items and follow through until they are completed
Bookkeeping and Job-Cost Support
- Enter and organize vendor bills and receipts in QuickBooks
- Code expenses to the correct customer and project
- Assist with customer invoice preparation
- Track outstanding invoices and assist with accounts-receivable follow-up
- Maintain accurate project cost records
- Organize subcontractor invoices, W-9s, and supporting documentation
- Help reconcile project budgets with actual costs
- Coordinate with the owner and bookkeeper regarding missing or unclear transactions
This position will support the bookkeeping process but will not initially be responsible for tax filings, financial-statement preparation, or high-level accounting decisions.
Required Qualifications
- Previous construction estimating, construction administration, or project-coordination experience
- Ability to read construction plans and understand basic construction terminology
- Strong attention to detail and numerical accuracy
- Experience with Microsoft Excel or similar estimating tools
- Strong written and verbal communication skills
- Ability to manage multiple deadlines and follow-ups
- Comfortable learning new software and company systems
- Ability to work independently and bring solutions or recommendations when questions arise
- Consistent follow-through and personal accountability
Preferred Qualifications
- Flooring, tile, hardwood, or interior-finish estimating experience
- Experience with QuickBooks Online
- Experience with Bluebeam or digital takeoff software
- Experience with JobTread, Buildertrend, Contractor Foreman, Trello, or similar construction-management software
- Familiarity with job costing, change orders, purchase orders, and subcontractor coordination
- Experience supporting a small or growing construction company
What Success Looks Like
Within the first 90 days, the successful candidate should be able to:
- Organize incoming bid requests without waiting for detailed instructions
- Prepare accurate takeoffs and estimate drafts for owner review
- Track all active estimates, deadlines, and follow-ups
- Maintain clean and current project records
- Improve the accuracy of job-cost information
- Reduce the amount of administrative and estimating work handled directly by the owner
- Identify missing information and recommend the next action
- Ensure important client, vendor, and project items do not fall through the cracks
