Position Summary
The Lifestyle Coordinator supports the Lifestyle Director in planning, coordinating, and executing a wide variety of recreational, social, cultural, wellness, and educational programs for residents within the community. This position plays a key role in creating an engaging resident experience by assisting with event planning, resident communications, vendor coordination, registrations, and day-of event operations. The Lifestyle Coordinator is a highly organized, customer-focused professional who enjoys building relationships, providing exceptional service, and helping create memorable experiences for residents. This is a hands-on, non-management position that reports directly to the Lifestyle Director.
Essential Duties and Responsibilities
· Assist the Lifestyle Director with the planning, coordination, and execution of the community's annual lifestyle calendar, including social events, fitness classes, educational programs, holiday celebrations, clubs, and special events.
· Coordinate event logistics, including registrations, room reservations, equipment setup, décor, signage, vendor scheduling, and event breakdown.
· Welcome residents and guests at community events and provide exceptional customer service before, during, and after activities.
· Assist with promoting community events through newsletters, flyers, email communications, social media, digital signage, and resident websites.
· Maintain event calendars, reservation systems, attendance records, and resident participation reports.
· Process event registrations, collect payments when applicable, and maintain accurate records.
· Build positive relationships with residents, encouraging participation and responding to questions regarding programs and activities.
· Assist with coordinating outside vendors, entertainers, instructors, and contractors to ensure successful event execution.
· Support resident clubs and interest groups by assisting with meeting logistics and communications.
· Help recruit, coordinate, and recognize resident volunteers participating in community events.
· Monitor event spaces before and after activities to ensure they are clean, organized, and prepared for resident use.
· Maintain inventory of event supplies, decorations, promotional materials, and equipment; notify the Lifestyle Director when replenishment is needed.
· Assist with preparing event budgets, expense tracking, and purchase requests as directed.
· Address resident concerns professionally and escalate issues to the Lifestyle Director when appropriate.
· Ensure all events are conducted in accordance with community policies and safety procedures.
· Assist with administrative duties including filing, data entry, correspondence, and general office support.
· Participate in staff meetings, training sessions, and professional development opportunities.
· Perform other related duties as assigned.
Qualifications
· Associate degree or bachelor's degree in Recreation, Hospitality, Event Management, Communications, Marketing, or a related field preferred.
· One (1) to three (3) years of experience in event planning, hospitality, recreation, customer service, community associations, country clubs, or a related field preferred.
· Experience coordinating events or activities for large groups is preferred.
· Excellent customer service and interpersonal skills with the ability to interact professionally with residents, guests, vendors, and staff.
· Strong organizational skills with the ability to manage multiple projects simultaneously.
· Excellent written and verbal communication skills.
· Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and the ability to learn community management and event software.
· Self-motivated with strong attention to detail and follow-through.
· Ability to work collaboratively as part of a team while taking initiative to complete assigned responsibilities.
· CPR and First Aid certification preferred or ability to obtain after hire.
Physical Requirements
· Ability to stand and walk for extended periods during events.
· Ability to lift, carry, and move up to 30 pounds for event setup and breakdown.
· Ability to bend, stoop, reach, and move tables, chairs, decorations, and event materials.
· Ability to work both indoors and outdoors in varying weather conditions, including Florida heat and humidity.
Work Environment
· Primarily based in the community amenity center and clubhouse with frequent work throughout community facilities and outdoor event spaces.
· Requires regular evening, weekend, and holiday work based on the community event calendar.
· Fast-paced environment requiring flexibility and the ability to manage multiple activities simultaneously.
