We are seeking a dedicated and detail-oriented Medical Office Assistant to join our healthcare team. In this vital role, you will serve as the first point of contact for patients and visitors, providing exceptional administrative support while ensuring smooth clinic operations. Your expertise in medical administrative tasks, electronic health record (EHR) management, and patient service will help create a welcoming environment and facilitate efficient healthcare delivery. Responsibilities
- Greet patients warmly and manage front desk operations, including scheduling appointments and answering multi-line phone systems with professional phone etiquette
- Answer incoming phone calls and respond to patient inquiries
- Assist patients with membership enrollment and administrative forms
- Maintain accurate medical records by reviewing documentation, managing electronic health records (EHR) systems, and ensuring compliance with HIPAA and clinical confidentiality policies
- Coordinate referrals, medical records requests, and outside communications
- Assist with patient outreach, recalls, and wellness program coordination
- Support physicians and clinical staff with administrative tasks
- EHR data entry using typing skills and 10 key typing proficiency
- Support clinical staff by managing appointment scheduling through medical office management software; coordinate follow-up visits and procedures
- Perform clerical duties such as filing, data entry, document scanning, and maintaining organized medical files in accordance with health information management standards
Qualifications
- Preferred experience in a medical office setting or healthcare environment with clinic or dental office experience preferred
- Preferred knowledge of medical terminology
- Excellent computer skills including proficiency in Microsoft Office applications and office management software
- Exceptional patient service skills combined with professional phone etiquette and multi-line phone system operation
- Ability to handle sensitive information with discretion while adhering to HIPAA regulations and clinical confidentiality policies
- Strong organizational skills with attention to detail in documentation review, filing, and office management tasks
