Job Description:
Responsible for greeting tenants, visitors, vendors, deliveries, and other needs common to an office lobby. Supports ownership and management team in property management duties, private office suite membership sales, coordinating marketing activities and special events for a Class-A office building.
Key Accountabilities:
1. Reception: Greet visitors & tenants, answer phones, e-mails, digital signage, and mass messaging.
2. Event Coordination: Main onsite contact during private events and corporate meetings among all property event spaces.
3. Administration: Works with Community Manager to grow the co-working membership base through marketing, advertising, lead sourcing, scheduling property tours, and closing new member agreements.
4. Management: Support management staff in administering core duties of a class A office environment.
5. Property: Provides troubleshooting assistance with conferencing equipment.
Additional Duties and Responsibilities:
1. Foster a friendly, welcoming environment.
2. Perform tenant, visitor, and vendor access screening and monitor access control system and devices.
3. Provide directions to visitors when asked.
4. Administer common carrier access for tenants and monitor automated parcel delivery system.
5. Identify and report issues of cleanliness and maintenance to appropriate staff as needed.
7. Maintain accurate administrative records for review by management, ownership, or accounting.
8. Treat people with respect; keep commitments; work ethically and with integrity; uphold organizational values; inspire trust in others.
9. Respond quickly to emergency situations and report incidents with appropriate personnel/authorities.
10. Perform other duties as assigned and reports to General Manager.
Skills, Education and Experience:
- High school degree required, college/trade school preferred or commensurate experience.
- Sales Executive, Administrative Assistant, Health-Tech, Healthcare, Technology, Real Estate,
Hospitality, Property Management, or related field interest preferred.
- Must demonstrate proficiency in written communications.
- Strong customer service, communication, and computer skills.
Compensation/Benefits:
- Work schedule Mon-Fri 8-5 on-site, with paid overtime opportunities available
- Base wage range of $23-$26 per hour, depending on experience including potential performance-based bonuses for office and desk and private event sales.
