The Front Office Specialist (FOS) is often the first point of contact for new and returning patient interactions. The primary roles of the FOS are to prioritize the patient’s needs and to represent the organization with poise, empathy, tact and kindness. The FOS schedules patient appointments, greets patients and visitors, answers and directs phone calls, checks patients in and out, verifies insurance eligibility and assists in general office duties. It is imperative that the FOS is friendly and welcoming for all potentially new and reoccurring COMC patients in every program and other visitors.
The duties and responsibilities of the FOS include but are not limited to:
- Receive, greet, and direct patients and/or visitors, providing accurate responses in a friendly, courteous, and concerned manner
- Answer multiline phone system in a timely and courteous manner
- Maintain provider’s/clinician’s schedules by creating, rescheduling and canceling patient appointments in the appropriate EMR systems (nAble-all other COMC programs, Awards-CCBHC program).
- Performs insurance verifications and determines eligibility prior to the delivery of services
- Receive patient payments or copayments and issues receipts.
- Post patient payments into appropriate EMR system
- Collect, verify, enter, and maintain data and medical record information in the EMR system including but not limited to patient demographic information, provider, payer/financial information, medical/behavioral history and referral information.
- Performs vitals checks on clients or patients (blood pressure, height, weight, and temperature, etc.) and data enters this information into the appropriate EMR system
- Manage all incoming and outgoing faxes
- Manage and complete all applicable medical/behavioral records requests
- Assist with language translation between patients and staff, as needed (i.e. Spanish)
- Assist patients with completing documentation/forms
- Monitor reports and data feeds, and communicates with the Clinical Team to ensure data is current and complete
- Enter service delivery information into grant specific databases (i.e. CareWare, RWISE)
- Maintain strict confidentially in accordance with HIPAA (Health Insurance Portability and Accountability Act of 1996)
- Maintain daily record of patient scheduling (i.e. missed appointment, no-shows, walk-ins, etc.) and present on a weekly basis as requested by management
- Performs administrative tasks such as work orders, event notifications, copying, faxing, logging mail and routes all external and internal telephone calls
- Construct routine correspondence, progress reports, medical statements, memorandums, and statistical reports using various automation systems and programs
- Attend team meetings and trainings as required
- Know, understand, and follow organizational guidelines, employment policies, and department specific procedures
- Consistent, regular, punctual attendance as scheduled
- Organize, prioritize and manage multiple projects concurrently
- Open and/or close the facility as assigned
- Steward building and security panel access well by maintaining strict confidentiality and following all training guidelines as provided by the Operations Manager or other designee
- Other duties and responsibilities as assigned
Pay: $19.00 - $21.00 per hour
