The Accounting Specialist performs a variety of general accounting support tasks in an accounting department. This position verifies the accuracy of invoices and other accounting documents/records. This person updates and maintains accounting journals, ledgers and other records detailing financial business transactions (e.g., disbursements, expense vouchers, receipts, accounts payable, accounts receivable). They enter data into computer system using defined computer programs. They compile data and prepare a variety of reports. This individual will also reconcile account balances, bank statements, records with internal company employees and management, as well as external vendors/customers. This person may recommend actions to resolve discrepancies and investigates questionable data.
Principle Responsibilities
- Prepares asset, liability, and capital account entries by compiling and analyzing account information.
- Verify, allocate, post, and reconcile accounts payable and receivable.
- Documents financial transactions by entering account information.
- Summarizes current financial status by collecting information, preparing balance sheet, profit and loss statement, and other reports.
- Assist with financial statement audits and tax returns.
- Maintains accounting controls by preparing and recommending policies and procedures.
- Reconciles financial discrepancies by collecting and analyzing account information.
- Support month-end and year-end close process.
- Prepares payments by verifying documentation and requesting disbursements.
- Produce error-free accounting reports and present results.
- Answers accounting procedure questions by researching and interpreting accounting policy and regulations.
- Complies with federal, state, and local financial legal requirements by studying existing and new legislation, enforcing adherence to requirements, and advising management on needed actions.
- Prepare bank deposits, general ledger postings and statements.
- Reconcile accounts in a timely manner.
- Enter key data of financial transactions in database daily.
- Inform management and compile reports/summaries on activity areas.
- Function in accordance with established standards, procedures, and applicable laws.
- Contributes to team effort by accomplishing related results as needed.
- Ensure compliance with GAAP principles.
Qualifications
- Associate degree or bachelor degree concentration in Accounting, Finance, or Business Administration preferred.
- Minimum one-year of Accounts Payable experience
- Knowledge and experience utilizing QuickBooks accounting system.
- Close attention to detail is essential, and ability to multi-task is an asset.
- Good organizational and strong interpersonal skills.
- Competency in Microsoft applications including Word, Excel, and PowerPoint.
- Organizational, verbal, and written communication skills a must.
- Must be very proficient, quick, and comfortable with personal computer navigation and operation.
- Ability to work independently with limited supervision.
Physical Requirements
Work is considered low physical work in an office and production setting, requiring the exertion of 50 pounds of force occasionally, up to 25 pounds of force frequently, and up to 10 pounds of force constantly to move objects. Must possess strength, stamina, and mobility to perform low physical work indoors with minimum exposure to dust.
Must be able to:
- Walk, lift, reach, stoop, stand, grasp, balance, climb, kneel, and crouch for extended periods of time.
- Regularly required to sit, stand, use hands to handle objects and reach with hands and arms.
- Will spend long hours sitting and using office equipment and computers or standing for hours at a time.
- Some lifting of supplies and materials from time to time.
- Demonstrate the ability to hear and have specific vision abilities to adjust focus, in an environment subject to noise, dust, etc.
- Perform all work safely in a fast-paced work environment.
- The incumbent is located in a quiet office area and is faced with constant phone interactions and will be in contact with other staff.
