We are seeking a detail-oriented B2B Order Entry & Customer Service Specialist to join our manufacturing team. In this role, you will support customer accounts across the hospitality, healthcare, and retail sectors for our lines of bed pillows, mattress pads, and blankets.
This is a business-to-business manufacturing support role and is not a retail, cashier, or standard call-center position. You will work directly with corporate purchasing teams, hospital logistics contacts, and retail buyers, so success in this role requires strong accuracy, focus, and experience supporting complex product lines.
Key Responsibilities
1. Order Processing and Account Support
- · Review product configurations carefully, including differences in size, fill, fabric, and compliance requirements.
- · Enter high-volume B2B wholesale orders into QuickBooks with accurate pricing, customer details, and shipping terms.
- · Convert approved sales orders to invoices and cross-check client purchase orders to help prevent billing discrepancies.
2. Excel and Logistics Coordination
- · Use customized, multi-tab Excel spreadsheets to track order details, calculate quantities, and review product variations.
- · Sort, filter, and format data independently to maintain accurate records and support operational decisions.
- · Cross-reference Excel order logs with QuickBooks inventory to identify shortages and coordinate lead times with production.
3. Industry and Supply Chain Coordination
- · Support hospitality and healthcare accounts by managing institutional orders and ensuring product specifications and delivery timelines are met.
- · Work with retail accounts to follow routing guides, ticketing instructions, and packaging requirements accurately.
Qualifications and Critical Skills
- · Experience: 2+ years of experience in order entry, logistics, or customer service within a manufacturing, wholesale, or distribution environment.
- · QuickBooks proficiency: Hands-on experience using QuickBooks Desktop or Online to manage sales orders, invoices, and inventory tracking.
- · Excel skills: Strong working knowledge of Excel, including sorting, filtering, formatting, and managing data across multiple sheets.
- · Attention to detail: A high level of accuracy is essential, as small errors in product or order information can affect production, shipping, and billing.
