The ICCF Group is seeking a detail-oriented Grants & Finance Associate to support both grant administration and accounting operations. This position serves as a bridge between program staff, grant management, and the finance office to ensure accurate financial reporting, compliance with donor requirements, and timely processing of accounting transactions. The Associate will work closely with the Finance Office, VP of Development, Grants Director, and Program Directors to support the implementation and reporting of international conservation grants while assisting with key accounting and financial functions.
This position is initially being filled to provide temporary coverage during a maternity leave, with the potential to become a permanent position based on organizational needs and employee performance.
Grant Finance Support:
- Serve as the intermediary between project staff and the Finance Office in the filing, coding, and review of expense reports against project budgets
- Work collaboratively with Program Directors, Grants Director, and Finance Office to complete grant financial reports in compliance with donor requirements and project deadlines
- Monitor grant expenditures and compare actual spending against approved grant budgets
- Track co-financing requirements and project matching funds to ensure compliance with grant agreements
- Assist with donor audits and requests for financial support documentation
- Support proposal development by assisting with grant budget preparation and financial information requests
Accounting & Finance Operations:
- Process vendor invoices and accounts payable transactions through Bill.com
- Create and maintain bills within QuickBooks Online and ensure supporting documentation is properly attached and retained
- Review expense coding and supporting documentation for completeness and accuracy
- Perform monthly bank account reconciliations
- Perform monthly corporate credit card reconciliations
- Maintain schedules supporting prepaid expenses, accrued liabilities, advances, and other balance sheet accounts.
- Assist with preparation of monthly financial reports and supporting schedules
- Assist with annual audit preparation and auditor requests.
- Assist with month end close procedures, including journal entries and account reconciliations.
- Support cash management and general accounting operations as assigned.
International Grant Management:
- Organize all grant and subgrant documentation and maintain tracking systems for activities, budgets, reporting deadlines, and deliverables.
- Assist Grants Director in preparing programmatic and financial reports for donors and funding agencies.
- Coordinate with program staff and international partners to collect supporting documentation and project information.
- Ensure project activities are properly documented.
- Assist in project monitoring and evaluation efforts and donor reporting requirements.
- Maintain grant reporting calendars to ensure compliance with all donor deadlines and requirements.
Pay: $45,000.00 - $55,000.00 per year
