Job Summary:
The Move-In Coordinator supports the Marketing Director in managing and coordinating all aspects of the resident move-in process. This role ensures a smooth, welcoming, and organized transition for new residents and families from initial deposit through move-in day and early onboarding.
Essential Job Functions:
- Assist the Marketing Director with all move-in coordination activities
- Serve as a primary point of contact for new residents and families during the pre-move-in and move-in process
- Track and manage move-in timelines, paperwork, and required documentation
- Coordinate move-in schedules with internal departments (nursing, housekeeping, maintenance, dining, etc.)
- Ensure apartments/rooms are ready prior to move-in date
- Communicate regularly with families regarding move-in updates, expectations, and next steps
- Maintain accurate move-in tracking logs and CRM/lead systems as needed
- Support marketing events, tours, and resident engagement activities when needed
- Help ensure a warm, welcoming experience for all new residents
- Identify and escalate any issues that may delay or impact move-ins.
- Other duties as assigned.
Qualifications
- High school diploma or equivalent required
- Experience in customer service, hospitality, senior living, or life enrichment preferred
- Strong interpersonal, verbal, and written communication skills
- Highly organized, dependable, and able to multitask in a fast-paced environment
- Compassionate, patient, and enthusiastic about working with older adults
- Basic computer proficiency, including email, calendars
