Job Overview
We're looking for a highly organized and proactive Reception / Executive Assistant to support our attorneys and keep the firm running smoothly day to day. This is a dynamic, multi-faceted role that goes well beyond traditional reception duties. The right person will be the operational backbone of the firm — managing communications, coordinating case workflows, building client relationships, and making sure nothing falls through the cracks.
This role is a great fit for someone who thrives in a fast-paced environment, takes initiative, and is energized by variety. No two days look exactly the same, and we wouldn't have it any other way.
Duties
- Answer and direct incoming calls, return voicemails, and respond to client texts and messages
- Greet clients and visitors professionally and warmly
- Schedule client consultations, appointments, and follow-up meetings
- Maintain timely, positive communication with clients regarding documentation, appointments, and case update
- Manage attorney calendars, deadlines, meetings, and reminders
- Organize legal documents, correspondence, and case material
Requirements
- High school diploma or equivalent; Associate's or Bachelor's degree preferred
- Exceptional written and verbal communication skills
- Strong organizational skills with the ability to manage multiple priorities simultaneously
- High attention to detail and consistent follow-through
- Comfortable working independently and as part of a team in a fast-paced environment
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
- Tech-savvy and comfortable learning new software systems quickly
- Professional, personable demeanor with strong client-facing skills
- Ability to handle sensitive and confidential information with the utmost discretion
Preferred Legal Experience (not required)
- Prior experience in a law firm, legal department, or legal-adjacent role is strongly preferred
- Familiarity with legal terminology, case workflows, or court procedures
