- A thought leadership and personal brand platform anchoring the overall portfolio
The marketing team is in an active build phase. A Marketing Strategist oversees all four entities, managing multiple simultaneous campaigns, launches, and content initiatives. This role was created specifically to support that expanded scope by providing the coordination and quality assurance layer that keeps everything running smoothly.
ROLE OVERVIEW
The Marketing Coordinator is a systems and operations role. This person manages the back end of the marketing workflow across all four brands — keeping ClickUp organized, tracking campaign priorities, managing dependencies, and coordinating handoffs. The role exists so the Marketing Strategist can move fluidly across simultaneous campaigns and entities without getting pulled into the administrative overhead of managing their own workflow.
Copywriting experience is welcome and will be used — specifically as a quality assurance layer as deliverables pass through the team and as content goes out across platforms and brands. But this is not a content creation role. The primary value this person brings is operational: structure, consistency, reliability, and coordination across multiple simultaneous campaigns.
CORE RESPONSIBILITIES
Marketing Operations & ClickUp Coordination
The primary function of this role is keeping the marketing operation organized and running smoothly across all Massey entities. This is not passive task management — it is proactive coordination that keeps priorities current, dependencies tracked, and nothing stalled.
- Maintain the ClickUp workspace across all active campaigns and entities — tasks organized, deadlines current, priorities accurate
- Update campaign priority status in real time based on project movement — escalate or de-escalate tasks as situations change
- Track task dependencies across campaigns and flag when one deliverable is blocked by another
- Set reminders and follow up on outstanding leadership approvals or feedback on deliverables — so nothing sits waiting without visibility
- Manage the biweekly marketing meeting agenda — compile status updates, flag open decisions, and document action items
- Communicate priority shifts to the Marketing Strategist clearly and promptly so the team can pivot without losing context
- Maintain a live campaign status overview that gives the Marketing Strategist and leadership a clear picture of everything active at any time
- Coordinate handoffs between team members — ensuring briefs, assets, and deliverables move cleanly through the workflow
Copy Quality Assurance & Voice Consistency
Copywriting experience in this role serves a quality assurance function, not a production function. As deliverables move through the team and out to external platforms, this person ensures content is aligned with brand voice, campaign direction, and entity-specific standards before it goes live.
- Review written deliverables as they move through the team — flag voice inconsistencies, formatting issues, or misalignment with campaign direction before they reach the next stage
- Ensure content going out across platforms and brands is consistent with the established voice and messaging guidelines for each entity
- Cross-reference blog posts, social content, and campaign copy against brand style guides before scheduling or publishing
- Flag any deliverable that appears misaligned with the campaign strategy or entity brand voice to the Marketing Strategist before it proceeds
- Support light editing and proofreading passes on outgoing content — not rewriting, but catching errors and inconsistencies
Campaign & Calendar Management
This role ensures the marketing calendar is maintained, campaign timelines are realistic, and no launch or deliverable falls off the radar.
- Maintain the marketing content calendar across all active entities
- Track campaign timelines from kickoff through delivery and flag any at-risk deadlines proactively
- Coordinate with the OBM to ensure campaign milestones are reflected accurately in ClickUp
- Monitor upcoming webinar dates, launch windows, and content deadlines across all four entities
- Compile a weekly marketing status summary for the Marketing Strategist
Leadership Communication Support
A key function of this role is managing the leadership review loop — ensuring deliverables do not sit waiting for feedback and that the Marketing Strategist is never blocked by an unanswered approval.
- Track all deliverables pending leadership review and set follow-up reminders on a defined cadence
- Draft follow-up messages on behalf of the Marketing Strategist or OBM when approvals or feedback are overdue
- Maintain a log of outstanding decisions needed from leadership so nothing is forgotten between meetings
- Prepare materials for the biweekly marketing meeting — agenda, status updates, open decision log
Operational Requirements
- Daily Slack check-in Monday through Friday — confirm active tasks and flag any blockers
- All tasks managed and updated in ClickUp — no work tracked outside the system
- Hours tracked accurately
- Responsive during business hours — same-day acknowledgment of messages from the team
- Weekly submission of completed tasks and progress update (required by client)

- Familiarity with marketing — enough to understand campaign structure, content flow, and brand voice — so they can serve as a quality checkpoint as deliverables move through the team
- Proactive communicator who follows up without being asked, flags issues before they become delays, and never goes silent on active work
- Organized, reliable, and consistent — the kind of person who keeps tight to ClickUp and deadlines without needing to be reminded
- Comfortable working across multiple simultaneous brands and campaigns without losing track of any of them
- Copywriting or marketing content experience is a bonus — valued for the quality assurance function it provides, not as a standalone deliverable
❌ This Role is not for you:
- Strong on copy but weak on organization — this role is operations first, copy experience is secondary
- Needs to be told what to do each day rather than looking at the board and knowing what to move
- Not comfortable in ClickUp — this is non-negotiable
- Prefers working on one project at a time — this role always has multiple entities and campaigns active simultaneously
- Has only worked in creative roles and has no operational or coordination experience
- Not available consistently Monday through Friday during business hours
IDEAL CANDIDATE PROFILE
- 2+ years of experience in a marketing coordinator, marketing operations, or project coordination role
- Demonstrated proficiency in ClickUp or equivalent project management tool — comfortable managing multiple workstreams, setting dependencies, and keeping task boards current across simultaneous campaigns
- Strong understanding of marketing workflows — how campaigns are structured, how content moves through a team, and what good coordination looks like end-to-end
- Reliable, structured, and proactive — the kind of person who keeps tight to deadlines and doesn’t let things slip between the cracks
- Comfortable supporting a senior strategist in a fast-moving, multi-project, multi-brand environment
- Familiarity with marketing copy and brand voice — enough to review and flag inconsistencies as deliverables move through the coordination process
- Experience in a multi-brand or multi-client environment is a strong advantage
- Copywriting or content experience is a bonus, not a requirement — the operational skill set is what we are contracting for
