Job Summary
We are seeking an experienced and highly organized Dealership Accounting Office Manager to oversee the accounting and financial administration of our automotive dealership. The ideal candidate will have prior automotive dealership experience and a strong understanding of dealership accounting processes, dealership management systems, and the day-to-day financial operations of a dealership.
This position will oversee the dealership’s accounting functions, including maintaining accurate financial records, processing and reviewing transactions, reconciling accounts, monitoring accounts payable and receivable, and ensuring accounting procedures are completed accurately and on time.
The ideal candidate should be comfortable working with dealership-specific systems and technology, including CDK, Dealerlogix, myKaarma, ADP, or similar automotive dealership platforms. Strong dealership accounting experience and an understanding of how sales, service, parts, and other departments flow into dealership accounting are highly preferred.
This is a hands-on accounting management position. The individual hired will not be responsible for hiring staff or managing dealership vendors. The primary focus will be overseeing accurate, efficient, and well-organized accounting operations for the dealership.
Responsibilities
- Oversee the day-to-day accounting operations of the dealership.
- Maintain accurate and up-to-date general ledger and dealership accounting records.
- Process, review, and reconcile accounts payable and accounts receivable.
- Reconcile bank accounts, floorplan accounts, dealer statements, and other balance sheet accounts.
- Review dealership transactions for accuracy, proper accounting treatment, and completeness.
- Oversee vehicle deal accounting, including deal postings, funding, payoffs, trade-in accounting, and related transactions.
- Work with the sales, service, parts, and other departments to ensure transactions are properly documented and posted.
- Assist with month-end and year-end closing processes.
- Prepare and maintain accounting reports, reconciliations, and supporting financial documentation.
- Identify, research, and resolve accounting discrepancies.
- Maintain accurate records for taxes, titles, registrations, and other dealership accounting requirements as applicable.
- Process payroll-related accounting and maintain accurate employee accounting records as required.
- Maintain strict confidentiality of financial, employee, customer, and dealership information.
- Utilize dealership management and accounting systems to complete daily accounting functions efficiently.
- Ensure dealership accounting procedures and internal controls are followed consistently.
- Communicate accounting issues, discrepancies, and financial concerns to dealership management.
- Provide management with accounting reports, financial information, and other financial analysis as needed.
Qualifications
- Prior automotive dealership accounting experience is strongly preferred.
- Experience working with a dealership DMS or accounting system such as CDK or ADP is highly desirable.
- Familiarity with Dealerlogix, myKaarma, and other automotive dealership software is a strong plus.
- Strong understanding of automotive dealership accounting processes.
- Experience with general ledger, accounts payable, accounts receivable, bank reconciliations, and month-end closing.
- Strong working knowledge of Microsoft Excel and Microsoft Office.
- Excellent organizational skills and strong attention to detail.
- Ability to identify accounting discrepancies and research and resolve issues in a timely manner.
- Ability to handle confidential financial and employee information with professionalism and discretion.
- Strong communication and problem-solving skills.
- Ability to work independently, prioritize multiple deadlines, and maintain accuracy in a fast-paced dealership environment.
Ideal Candidate
The ideal candidate is someone with actual automotive dealership experience who understands how a dealership operates from an accounting perspective. We are looking for someone who can step into the position with a working knowledge of dealership accounting, DMS systems, deal posting, reconciliations, funding, payoffs, and month-end processes.
Experience with CDK, Dealerlogix, myKaarma, ADP, or similar dealership systems is highly preferred.
This position is focused specifically on overseeing the dealership’s accounting operations, rather than general office management. The individual will not be responsible for hiring additional staff or managing dealership vendors.
The right candidate will be a detail-oriented, accountable, and experienced dealership accounting professional who can take ownership of the accounting function and ensure the dealership’s financial records and daily accounting operations remain accurate, organized, and current.
Pay: $50,000.00 - $120,000.00 per year
