Homeless Management Information System (HMIS) Data Entry Training Specialist
PURPOSE OF POSITION: The HMIS Data Entry Training Specialist provides HMIS user training and data support for the Summit County Homeless Management Information System. This role serves partner agencies within the Continuum of Care (CoC) and ensures data integrity for the Central Intake program.
A Day in Position: Presenting how to use the HMIS to a new user from partner agencies. Creating and maintaining new User logs. Troubleshooting basic HMIS data entry questions from system users. Reviewing data quality reports and assisting users in correcting errors or data entry. Attending homelessness educational community meetings.
CORE RESPONSIBILITIES:
- Training Manuals and Record Keeping: Create and maintain up-to-date and user-friendly HMIS manuals and training materials. Maintain appropriate HMIS User records and documentation of training, user activation/deactivation, technical support provided, meeting minutes, and site visits.
- Partner Relationship Management: Establish sound working relationships with area non-profit organizations. Assist and support HMIS Administrator in facilitation of HMIS User Meetings.
- Training and Technical Support: Provide HMIS user training to staff of community homelessness services agencies and CoC grant partners. Answer technical support questions, respond to Help-Desk user inquiries, and assist agencies with their program HMIS data export and/or repository uploads. Work with the HMIS Administrator to implement User policy and procedures.
- Data Quality and Reporting: Identify data quality problems and assist agencies in addressing data quality issues to ensure all data entered in HMIS is current, accurate, and up to date. Run monthly data quality reports for CoC agencies and assist with routine data quality checks. Assist HMIS Admin by running preliminary reports and cleaning data before and after data uploads and before major federal reporting (e.g., PIT, HIC, SPM, APRs, AHAR/LSA, etc.).
- UWSM Program Support: Assist the Central Intake program by inputting and updating HMIS data, maintaining shelter waitlists and By-Name Lists (BNL), and ensuring data accuracy.
JOB EXPECTATIONS: 35% Internal / 65% External.
QUALIFICATIONS:
- A two or four-year degree in social sciences, urban planning, public policy, community development or other experience may be substituted if strong strong MS Excel skills are demonstrated.
- Strong computer skills, including MS Office products (Word, Excel, PowerPoint, and SharePoint) and an interest and ability to learn new skills.
- Excellent problem-solving skills with a solution-focused approach.
- Experience presenting to or training users of all skill levels, while empowering them with tools to address their data quality issues.
- Familiarity with homeless services, Continuum of Care, or other human service systems.
- Demonstrated ability to work independently with minimum supervision and as part of a high-performing team.
- Ability to multitask and maintain multiple projects simultaneously.

OTHER REQUIREMENTS:
- Position is primarily a normal office setting, requiring long periods of sedentary work at a desk and computer.
- Ability to routinely travel throughout multi-floor office, walking, climbing stairs, utilizing the elevator.
- Extensive reading.
- Ability to pass pre-employment testing including background check, drug and alcohol screen.
- Valid driver's license and proof of insurance. Access to a reliable insured automobile to be used for work-related travel in the Summit & Medina County area.
- Approximately 5% travel.
