Duties
- Answer incoming calls using multi-line phone systems with professionalism and courtesy, ensuring each customer feels valued and heard
- Provide prompt and accurate responses to customer inquiries via phone, email, or chat, maintaining excellent phone etiquette and communication skills
- Manage front desk operations, including greeting visitors, scheduling appointments, and handling administrative tasks such as filing and data entry for automotive repair orders
- Utilize productivity software like Microsoft Office and Google Workspace to prepare reports, proofread documents, and organize information efficiently
- Assist with office management duties such as calendar management, bookkeeping using QuickBooks, and maintaining organized filing systems
- Support customer support efforts by troubleshooting basic technical issues and guiding clients through solutions with patience and clarity
- Maintain high levels of organization through effective time management and prioritization of daily tasks to ensure smooth office operations
Requirements
- Proven experience in office management, clerical work, or customer service roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic computer literacy
- Familiarity with QuickBooks or similar bookkeeping software is highly desirable
- Excellent phone etiquette with the ability to handle multi-line phone systems confidently
- Bilingual abilities are a plus to better serve diverse customer needs
- Previous experience as a dental or medical receptionist or personal assistant is advantageous
- Strong data entry skills with attention to detail; typing speed should be efficient for high-volume tasks
- Demonstrated ability to manage time effectively in a fast-paced environment while maintaining productivity software proficiency
- Knowledge of office equipment operation including filing systems, fax machines, and photocopiers
