Position Summary
The Accounts Receivable Billing Representative provides financial, clerical, and administrative support to the dental office to ensure efficient, timely, and accurate patient billing and follow-up. The AR representative utilizes conflict resolution and problem-solving techniques to handle patient billing inquiries and complaints, and inputs and monitors electronic fund transfers, Medicaid, and other insurance-related matters.

- Provide financial, clerical, and administrative services to ensure efficient, timely, and accurate patient billing and follow-up in accordance with Smiling Faces accounts receivable protocol.
- Provide quality customer service, utilizing conflict resolution and problem-solving techniques to manage patient inquiries and complaints.
- Initiate collection efforts. Investigate and resolve patient billing inquiries.
- Input and monitor electronic fund transfers per insurance websites for all providers accepted by Smiling Faces. Enter patient and insurance data as needed. Process insurance adjustments. Monitor and update insurance and patient payment status.
- Communicate effectively, courteously, and professionally with clinical and administrative staff. Communicate effectively, courteously, and accurately with patients inquiring about statements, billing, payments, etc.
- Prepare bi-weekly outstanding claims reports and work completely through outstanding claims. Copy any denials and work to completion from electronic fund transfers or checks. Present to the Dental Office Manager for review.
- Audit patient accounts for billing errors or inconsistencies.
- Input insurance information into Fuse and update patient information. Input and monitor all Medicaid claims through the Medicaid website.
- Audit and reconcile accounts receivable. Verify that insurance transactions comply with treatment performed.
- Assist in clearing claims via the Claims X system and work the Daily Claim Report daily.
- Close out accounts receivable at the conclusion of each business day, as scheduled by the Office Manager.
- Complete assigned tasks in a timely manner.
- Maintain dependable job attendance by reporting to work on time and ready to work.
- If needed: greet patients in accordance with Smiling Faces protocol, answer office phones in accordance with Smiling Faces protocol, and schedule patient appointments through the Fuse system.
- Comply with Smiling Faces policies and procedures, OSHA policies and procedures, and HIPAA policies and procedures.
- May be required to relocate to other Smiling Faces clinics — permanently or short-term — due to office needs at the discretion of management.
- Complete other administrative and maintenance tasks as assigned by management.
Skills & Abilities
Education
High School Graduate or General Education Degree (GED) required.
Experience
One or more years of experience in accounts receivable.
Certifications & Licenses
Must obtain current Scheduling Institute Certification within 30 days of employment if required by management.
Computer Skills
Efficiently operates assigned computer software and other equipment, including Fuse (training can be provided) and Microsoft Office Suite.
Other Requirements
Valid driver’s license, proof of valid vehicle insurance, and annual Motor Vehicle Record check required if operating Company-owned vehicles or driving a personal vehicle for Company business.

Work Environment
While performing the duties of this job, the employee is occasionally exposed to toxic or caustic chemicals, body fluids, blood-borne pathogens, and the risk of radiation. The noise level is usually moderate. As the dental practice is heavily dependent on scheduling, the general environment can become hectic at times. The employee must be able to effectively handle the normal anxieties associated with the job.
Pay: $19.00 - $21.00 per hour
