Position Summary
The Assistant Property Manager will support the daily operations of a diverse commercial property portfolio. This role works closely with the Property Manager to ensure properties are well-maintained, tenants are supported, financial records are accurate, and vendor relationships are effectively managed. The position offers exposure to all aspects of property management, providing a strong pathway toward advancement into a Property Manager role.
Key Responsibilities
Tenant & Client Service
- Serve as a first point of contact for tenant questions, concerns, and service requests.
- Coordinate tenant move-ins and move-outs, including scheduling, documentation, and walkthroughs.
- Distribute property communications, policies, and building rules; assist in enforcing lease obligations.
Operations & Vendor Oversight
- Conduct regular property inspections; track and resolve maintenance or operational issues.
- Assist with the preparation of vendor contracts and service agreements; solicit bids, review proposals, and monitor performance.
- Oversee vendor compliance including certificates of insurance, permits, and contract standards.
- Coordinate building services such as janitorial, landscaping, pest control, parking, and security.
Financial & Administrative Support
- Assist in preparing annual operating budgets and monitor actual expenses against budget.
- Review, code, and process invoices; prepare variance notes as needed.
- Support rent collection, receivables reporting, and follow-up on delinquent accounts.
- Help prepare monthly and quarterly ownership reports and maintain audit-ready property files.
Lease & Project Support
- Reference lease abstracts to confirm tenant obligations for services, operating expenses, and compliance.
- Coordinate small projects and suite turnovers, ensuring timely completion and communication with tenants and contractors.
- Provide support on tenant improvement projects and property capital upgrades.
Compliance & Safety
- Assist with safety, emergency preparedness, and life-safety procedures at each property.
- Track inspection schedules, permits, and regulatory compliance items.
- Participate in after-hours response as needed for emergencies or special projects.
Qualifications
Required:
- 2+ years of experience in commercial property management or related field.
- Proficiency in Microsoft Outlook, Word, and Excel.
- Strong organizational, written, and verbal communication skills.
- Ability to interact professionally with tenants, vendors, contractors, and ownership groups.
Preferred:
- Familiarity with property management/accounting software (Yardi, MRI, or similar).
- Experience with vendor contract administration, property inspections, and reporting.
- Exposure to budget preparation, CAM reconciliations, and financial tracking.
- Coursework or industry certifications in progress (e.g., IREM CPM, BOMA RPA).
Physical/Work Conditions
- Primarily office-based with frequent site visits across St. George and surrounding areas.
- Ability to walk properties, access mechanical areas, and perform physical inspections when required.
- Occasional after-hours or weekend work may be needed for tenant or property issues.
